Job Title: Expatriate Housing Assistant (6 month contract)

Location: Beijing

This position is responsible for managing all aspects of VGC Expatriates housing related issues like rental payment processes, lease management and housing data report for VGC in Beijing and other VW locations by supporting HR Expatriates Consulting Team and coordinating with housing agencies. This position ensures that all monthly Expatriates’ housing rental payments and utility cost reimbursements are done timely and correctly in line with FSE/LE housing policy.

Your responsibilities:
? Work closely with HR/Expatriates Consulting Department to support Expatriates housing related issues
? Coordinating and managing all Expatriates’ housing issues with three agencies.
? Prepare monthly rental payment details (PO, Debit note, invoice and the copy of landlord’s ID, property title deed and contract copy), ensure the contents are correct and submit to finance before deadline
? Create PR/PO timely for each rental payment according to confirmed contract/contract report
? Work closely with finance and Expatriates consultants to ensure all the payment are done timely
? Maintenance of monthly rental payment report
? Coordinate FSE housing contract and pre-control in terms of budget, contract valid duration and rental content
? Support the leasing agreement signature process for original leasing agreement and renewal agreement
? Control and deliver contracts/BGL/CGL /supplementary agreements/early termination notice/internal transfer notice ect. to the responsible HR and get it back after fully signed
? Support issuing Bank Guarantee Letter by pre-check the documents submitted by agency, deliver to finance for further approval , submit to bank and follow up with the whole BGL issuing process.
? Maintenance of FSE housing database
? Control and manage FSE Utility fee allowance
? Pre-check and record FSE’s utility fee reimbursement
? Coordinate driving license test transportation
? Supporting the monthly and annual tax filling for Expatriates
? Deliver all Expats’ housing related benefits data to tax consulting like monthly rental and utility fee
? Support to collect information from VGC finance department for unqualified Fapiao and deliver to EY for tax calculation
? Support HR to create new vendor with correct landlord and agency information
? Support with other vendor payment
? Support to control and arrange the vendor service fee payment

Our requirements:
Bachelor degree or above
Strong communication skills
Quick learner and willing to learn
Can work individually and under pressure
Problem shooting and conflicts managing soft skills
Self-motivation and patient
Working proficiency in English, German is a plus.
Above 2 years related working experience.
