职责:
For the COO and the HRD:
1. Diary management and office administration:
? Checking and coordinating schedules, dealing with internal and external requests for availability.
? Logging IT requests, sourcing and booking meeting rooms, ordering stationery, meeting guests.
2. Travel and logistics arrangements:
? Prepare travel itineraries and agendas, book hotel, flight, transportation and manage visa applications (where applicable).
? Coordinate visit schedules for key visitors, including booking of transportation, introduction to local facilities, circulation of meeting materials, etc.
3. Expense administration:
? Collate expense receipts and complete the monthly submission of e-expenses ensuring accuracy and that relevant deadlines are met.
? Coordinating the management of approvals and authorisations, e.g. e-expenses, 3rd party payment, etc.
4. Team meeting coordination:
? Set up and manage quarterly SPU Leadership Team meetings and 4-monthly SPU HRLT meetings including tracking of confirmed attendees and coordination of accommodation and meeting facility logistics.
For the COO only;
1. Correspondence and file management:
? Manage and prepare correspondence, including scanning and circulation of incoming mail where needed, typing of various documents and archiving and retrieving key documents when requested.
? Manage and maintain confidential and key files for the COO, ensuring appropriate updates are made in a timely manner.
2. Event Management
Organise other events/meetings hosted by the COO as needed, and arrange relevant facilities and logistics
3. Other ad hoc administrative duties as required.
要求:
Essential Education
Bachelor degree in English or Business Administration; secretarial qualifications would be an advantage but not essential
Essential experience and job requirements
Experience (years and nature)
? 3-5 years of personal assistant or equivalent experience
? Previous experience in an administrative support position to a senior executive in a multi-national corporation
Essential criteria
? High level of initiative, motivation and energy
? Mastery level of competency in planning and organizing skills
? Results orientated with a strong bias to deliver results efficiently
? Strong problem solving skills with an ability to develop creative solutions to complex issues
? Strong networking and influencing capability
? Excellent interpersonal, communication, and organizational skills
? Ability to engage at all levels of the organisation and establish credibility with peers, Business Unit Leaders, and Sr. Executives
? A team player exhibiting high levels of inclusive behavior and a willingness to partner effective with the EA to the COO
? Excellent cross-culture sensitivity and awareness
? Ability and motivation to work in a multilingual and multicultural environment
? Ability to prioritize and manage multiple tasks, assimilate data and perform analysis on a diverse range of issues
? Proficiency in Microsoft office skills
? Fluent in both written and spoken English
