Position: HR Assistant
Department/Division: China
Job Location: Shanghai
Reports to: Human Resource Manager/ Human Resource Director
Directs Reports Nil
Job Summary/Purposes
HR Assistant is responsible for personnel administration and HR operation. HR Assistant will support staffing, staff in/out, HR database/reports etc. He/she will support HR Department to improve efficiency and effectiveness of HR daily operation.
Responsibilities
Personnel Administration
· Administrate staff in & out process and ensure related documents are complete/ accurate;
· Manage the on boarding process including the medical checkup, reference check, offer letter sign up, on boarding documentation, working area set up and internal notice etc.;
· Maintain & Update employee’s personal files;
· Work Permit & Residence Permit application for expatriate staff and regular maintainence.
HR Information System
· Maintain employee database and monitor probation/ contract renew dates;
· Prepare related HR reports, such as HC report, C&T Report, Org-chart etc;
· Prepare ad-hoc HR report/ data analysis;
Staffing
· Pre-screen on-line resumes;
· Coordinate interview schedule;
· Monitor on-line position posting;
· Reconfirm the hiring name list and manage the offering process of the positions assigned.
· Support HR Manager on headcount planning process of the responsible departments and fill in the vacancies occurred with quality hiring within target cycle time;
Others
· Any other duties as may assigned from time to time;
Qualifications
· Education: University degree or above
· Experience: 2-3 years of HR Admin experience preferred,
· Special Knowledge: Basic understanding on HR Admin process/ procedure, computer literacy, good English writing/ reading proficiency.
· HR working experience in multinational companies is preferable
· Competencies:
- Quick learner;
- Good at Planning, priority setting, organized;
- Detailed and responsible;
- Good data analytical skill
- Effective Communication skill
- Good team player
