POSITION SUMMARY

The incumbent will provide administrative support for the hire process. The incumbent will also be the first point of contact for all incoming requisitions so that they can be reviewed for completeness and appropriateness, entered into the applicant tracking system and communicated to appropriate team members. Once posted, work with the associated recruiter to post the position to identified job boards. This position also provides administrative support for Staffing Manager and members of that team. Kenexa Recruiter Brassring is the applicant tracking system used by Staffing and this data is ultimately used to establish new hire records in SAP/HR. Therefore, the incumbent must be proficient in using both. Since the incumbent interfaces regularly with the external job candidates, they serve as a company representative. The incumbent also interacts daily with Air Products’ employees at all levels of the organization. As a result, strong written and verbal communication, interpersonal skills and teamwork are necessary. The position is tasked with a high volume of work with changing priorities and schedules. The incumbent must be adaptable and flexible and possess sound time management and organization skills.

PRINCIPAL ACCOUNTABILITIES

Support end-to-end direct hire process for the businesses and functions; coordinate candidate interview schedules with appropriate recruiter, hiring manager and hiring manager administrative assistants, confirm interview schedule, interview forms and applications and where appropriate travel instructions with candidate, process reference checks, offer and offer/accept letters; work with managers to ensure position details are accurate in SAP/HR MSS prior to offer/accepts being processed. Assist in coordination of on boarding details of new hires.
Manage the information in Kenexa, the applicant tracking system, for all positions and assigned candidates including updating of activities. Utilize all system capabilities to maximize the value of the software in optimizing the productivity of staffing-related administrative tasks.
Review all incoming requisitions to ensure completeness and appropriateness of the information provided; work with recruiters and hiring managers to address issues before posting; notify appropriate recruiters when new positions are posted. Work with appropriate recruiters to post jobs on identified external job boards.
Perform a variety of clerical activities including, copying, filing, meeting requests, travel arrangements, phone coverage, and project support for the Staffing team and others, as requested.
Maintain and monitor Procurement Account for Staffing through accurate record keeping and monitoring account transactions.
Continually review processes and streamline and/or simplify as necessary.
Other tasks as assigned by the manager

QUALIFICATIONS

Bachelor degree is required
Proficient with software applications such as Microsoft Office (Word, Excel and PowerPoint)
Good written and verbal communication skills in both English and Chinese
Good interpersonal skills and teamwork
Adaptability and flexibility with sound time management and organization skills
Proven ability to work in independently in a high volume work environment with changing priorities
