职位描述
The Administration Officer role in Shenzhen has responsibility for the day-to-day administration of a portfolio of pension plans. The role includes ensuring the administration service for the client is in line with agreed Service Level Agreements, timetables as well as Mercer professional and quality standards.
This role will provide an enthusiastic and proactive individual the opportunity to make a contribution to creating a positive experience for the clients and the employees we service.
Specific Duties and Accountabilities:
· Prepare and organize workflow allocated from Administration Manager
· Adhere to administration services and performance established for each client
· All work to be submitted to Administration Manager for peer reviewed before going to client and/or member.
· All client queries and requests are responded to accurately and within agreed timeframe. Complex queries are referred to Administrator Manager for required input and final peer review.
· Administration Manual, Fund Summary, Fund Profile and other fund documentation are maintained and kept up-to-date at all times throughout the year
· Understand and apply E&O Policy and compliance requirements and notify manager of any potential issues impacting on client relationships
· Respond to and resolve escalated member queries
· Liaise with client on queries relating to administration of plan
· Manage client portfolio to ensure client adheres to predefined procedures and processes
· Assist Administration Manager with team workflow and projects
· Identify inefficient processes and advise Manager of the issues requiring intervention including possible solutions
· Promptly advise Administration Manager when problems arise or when standards cannot be met
· Foster positive working relationship with Hong Kong team members and Shenzhen Flex administration team members
· Assist in training, mentoring and development of Level B administrators, where requested
· Contribute to team performance by actively participating in team meetings, assisting other team members as required and providing constructive feedback on issues as they arise
· Identify own training needs and, using PfS Learning seek management approval for relevant courses and actively participate in own PfS discussions with Administration Manager.
Knowledge and Skill Requirements:
· Initiative and enthusiasm!
· Technical skills, including Microsoft Word, Excel and Outlook.
· Process oriented mindset with a focus on efficiency and accuracy.
· Be able to foster close partnership with colleague in remote offices.
· Excellent planning and organizational skills with the ability to manage multiple tasks.
· Team player with good communication skills - written and verbal.
· Self-motivated, client focused and with the ability to use own initiative.
· Attention to detail.
· Proficient in English, Cantonese and Mandarin.
