Support to the groups
F New Hire on boarding
Ø Coordinate with the group managers and procurement team to purchase new hardware, check the delivery status
Ø Confirm seat arrangement with hiring manager
Ø Add the new employee to necessarilyowned group aliases and update in MSIT Team portal& Admin tool
Ø Apply SIM card which depends on manager’s requirement
Ø Follow up other facilities arrangement for new hire after onboarding
F Purchase Orders under http://myorder/
Ø Create Purchase Orders for team, process invoice and payments by following with company finance and procurement policies
Ø Regular track the related purchase orders status
Ø Other purchase orders assignments regarding on vendor service, intern payroll, morale, recruiting & lab machines etc.
F Headcount Management
Ø Update (open, extend, change reporting line& cancel)MSIT account in HTX upon request based on the request from BM/Group Managers/HR
Ø Make changes upon group manager’s request in HTX on reporting line, working date, location and cost center change
Ø Check HTX if every change request is being published correctly
Ø Track bubbled positions and clear up as soon as possible
F Budget Management
Ø Assist group manager on morale budget planning and control
Ø Manage group POs, invoicing, and expense tracking
Ø Review all open POs on a quarterly basis to ensure that they are up to date and close any that are no longer needed
F Space Management
Ø Assist manager on group space planning
Ø Update group seat status to related team
Ø Facilitate group moves
Ø Group offices reservation and coordination
F Other Initiative Responsibilities
Ø Facilitate FTE/Intern/Vendor on-board and leaver check out
Ø Group morale activity planning and implementing(work out proposal, quote,shuttle/meal arrangement, process invoice and payments)
Ø Coordinate logistics for group meetings/events (scheduling, room booking, equipment validation, snack & meal preparation etc.)
Ø Group visitor handling (logistics arrangement.)
Ø Group website & DL maintenance
Ø Group org chart & contact list maintenance
Ø Manage group shared resources (group floating assets, traveler cell phone card etc.)
Ø Acted as an informationresource to own team: with assistance, found answers to tactical questions about navigating among tools and processes, which resulted in team members staying focused on their initiatives
Ø Handles routine and non-confidential data management tasks by using Microsoft products/tools.
Ø Manage the group managers’ calendar if needed
Ø Other assistance upon group manager’s request & AA’s bandwidth(travel arrangement etc.)
Support MSIT China key deliverables and key initiatives
F Assist on annual MSIT- China morale events and kickoff event logistics etc.
F Assist on MSIT ChinaAssetsmanagement
F Timely update group manager’s and group visitors’ master schedule on MSIT China management team and the event calendar
F Manage MSIT conference room and make reservation according to employees’ requirement.
F Serve as to support MSIT V-teams for general issues.
F Collect main issues and make draft for MSIT newsletter
F Other assigned projects/initiatives by BM.
Others
F Attend ARD Monthly Operation Meeting as MSIT representative.
F Act as the bridge between employees and other function teams. Submit the complaint and get feedback
