JOB DESCRIPTION
Position: Receptionist, Legend Garden Campus
Reports to: Assistant to the Headmaster/Sr. Legend Garden Campus Administrator
Overall Responsibility
To support Dulwich College Beijing by representing the organisation as a front line staff member, providing exceptional customer services to all clients of Dulwich College Beijing.
Brief Overview of Role:
- Located at Legend Garden Campus, main reception desk
- Helping to create a friendly, professional environment at Dulwich College Beijing
Overview of Responsibilities
Reception Duties
? Greet all visitors in a friendly, professional manner. If a visitor needs to wait in reception area, ensure they are made to feel welcome and comfortable
? Answer/screen/divert all incoming telephone calls or take message
? Receive/screen/distribute all incoming mail and faxes
? Assist with outgoing mail, courier or fax services
? Keep reception area tidy, including keeping displayed notices current
? Assist the admissions team by greeting potential new families and helping them with the initial Enquiry Form before directing them to admissions
? Process Parents’ ID (including ayi, drivers)
? Receive, and distribute items left for students collection
? Receive and distribute marketing materials
? Maintain and distribute up-to-date telephone extension lists
? Be aware of emergency evacuation procedures and ensure procedures are followed in the case of an emergency
Assistant to the Senior LG Campus Administrator
? Help with staff business travel bookings (air tickets, train tickets, hotel and payments)
? Help with CPD & Accreditation events
? Help with VIP visitors’ logistics arrangement
? Administer Petty Cash
Help with Student Registration
? Receive student absence telephone calls, record and inform relevant people
? Assist students with “Late Slips” and “Early Dismissal” forms and inform relevant people
? Liaise with the operations department; for general maintenance, cleaning, any other matters in order to maintain a safe environment and to assist students who need help with lockers
? Using “SIMS’ system be able to track all students and staff members
Qualifications and Requirements:
? Bachelor’s degree
? Good command of Spoken and Written English
? Skilled in Microsoft Word and Excel
? Highly responsible, patient, result-oriented but flexible in solving problems
? Good interpersonal and communication skills with strong customer service awareness
? Willing to help others and good team-player
? Receptionist or Customer Service working experiences preferred
