职位描述
POSITION GOALS
To provide receptionist and front office duties in accordance with company policies, procedures and processes. Achievement of the Key Performance Indicators and Service Level Agreement targets. Ensure operational compliance with the Management Agreement between Jones Lang LaSalle and Client.
DUTIES AND RESPONSIBILITIES
Responsible for handling of incoming and outgoing calls including distribution
Receive, inform, guide visitors including co-ordination with Client employees, including the distribution of refreshments
Responsible for maintaining telephone registers
Responsible for maintenance and upkeep of the front office/reception area – clean and presentable at all times
Ensure compliance of regulations / requirements of JLL senior Account Management team.
Contribute information of inclusion in the Monthly Report submitted to Client
Assist with arranging for cover during periods of Annual Leave
Utilise the systems of Jones Lang LaSalle to effectively manage contractors and report on their performance
Assist in the management of conference and meeting rooms
Co-ordinate and assist Client with local office events as required.
Provide assistance in general administrative activities and any other duties as assigned.
Provide general support and administration functions to the Jones Lang LaSalle Facilities Management team
Training:
Participate in all training activities organised as part of the Account
Initiatives:
Actively encourage an environment that supports teamwork, cooperation & performance excellence
Be proactive and search for ways to improve Front Office/Reception functions to Client
KEY PERFORMANCE MEASURES / COMPETENCIES
Refer to the Individual Performance Agreement (IPMP) for Key Performance Measures.
Help to ensure the KPI Targets for the Account are met
Experience in front and back office processes is required with strong Administration Skills.
Strong Customer Service focus
Excellent people skills and ability to interact with a wide range of client staff and demands
Knowledge of occupational safety requirements
Strong PC literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions
Demonstrated experience with continuous improvement initiatives
Demonstrated experience with client reporting and preparation of reports
