Overall Aim of the Job (Mission):
- Adhere to Tenant Coordination process and procedures.
- Provide support and reports to the Tenant Coordination Manager.
- Manage a team of Tenant Coordinators, and facilitate design approval.
- Manage the Tenants MEP design coordination with IICG Property Facilities Team.
- Develop, train and mentor the project Tenant Coordination members.
- Manage coordination between leasing, design, technical & construction departments in the Development, Leasing and Delivery phases.
Responsibilities
- Lead, manage and support project Tenant Coordination Team during Leasing, Design, Delivery and transition to Operations.
- Maintain regular updates to IICG China standardised procedures, specifications and manuals relating to all Tenant coordination matters.
- Manage interface between Leasing, Project & Central teams
- Manage the Tenant component of the Handover process to Property Department
Specialist responsibilities:
1. Development Phase:
- Implement procedures that incorporate all Company Guidelines, Manuals and Technical requirements into the tenant coordination process
- Ensure that clear Roles and Responsibilities are maintained by all Project Tenant Coordination members.
- Develop and implement process and procedures to identify, plan, monitor and report on all required Authorities Approvals and Permits.
2. Leasing Phase:
- Implement processes and procedures to identify change management impact of Anchor Tenants on the base building
- Manage existing process and procedures to accommodate leasing changes to base building
- Review all proposed lease agreements with respect to impact on base building parameters and technical provisions, with assistance from Tenant Coordination - Leasing
- Oversee the working relationship between leasing and project teams.
- Mentor the Project Tenant Coordination Team members.
3. Delivery Phase:
- Manage the Project Tenant Coordination Members
- Ensure that Project processes and procedures are in place.
- Manage the whole transition from design to fit-out, with attention to design detail & MEP design review by Property Facilities Team.
- Ensure that Project processes and procedures are in place to manage all logistics including access routes, rubbish removal etc are planned, coordinated and communicated ahead of construction activity.
- Ensure Project processes and procedures are in place to ensure that all aspects of the tenancy space have been closed out ahead of construction activity.
- Ensure Project processes and procedures are in place to monitor, review and coordinate base building progress into the Tenancy Fit Out programme and communicate to Tenants.
- Manage the Project teams to ensure the Tenants’ fit-out works are properly planned, including all offsite activities.
- Manage standard process and procedures to monitor, review and report on Tenant fit-out progress.
- Review Project progress and manage the initiation of corrective actions that ensure the Grand Opening date can be achieved.
- Ensure Project processes and procedures are in place to manage and coordinate systematic removal of surface protection and final cleaning.
- Develop procedures to ensure all relevant permissions are identified and obtained for all Tenant fit out works.
4. Tenant Turnover Phase (managed by Property Department):
- Provide input and guidance to Property Department
- Manage the transition from project to Property Departments
Qualifications
Knowledge& Background:
- Proven Tenant Coordination or Project Management skills, with experience of large scale retail complex developments
- Proven track record of minimum 5 years experience within construction industry
- Good understanding of retailers needs and demands, both internationally and locally in China
- Fluent in written English and spoken Mandarin & English
- Experience in multi-cultural and multi-lingual international working environment.
- Prior overseas placement and cross border experience from different markets, especially Asia and China.
- Tertiary level or other relevant educational qualification.
Skills & Abilities:
