职位描述

Duties and Responsiblities:
- Responsible for the daily management and administration of the office
- Ensure effective internal / external communication
- Liase with cleaning vendor to ensure a clean and tidy office - communicate regularly to ensure all staff are aware of their roles and responsibilities as they apply to the cleanliness of the office
- Maintain the office catering consumables and obtain ad-hoc catering for meetings/business function
- Administrate the daily office facilities services including office maintenance
- Arrange and administer adequate support services for the office
- Oversee receptionist duties and responsibilities
- Establish and maintain relationships with local suppliers
- Fulfil the role of a training coordinator for the programs to be carried out in this training center
- Send the training room booking confirmation to the trainer and remind for the occupancy of the rooms
- Stock control for office supplies and maintenance spare parts and tooling
- Utilise the systems of Jones Lang LaSalle to effectively manage contractors and report on their performance
- Management of training rooms and training cars
- Arrange the training lunch for the trainees via communication with local building management
- Co-ordinate and assist client with local office events
- Co-ordinate office security and security system
- Manage the on-site technician and fulfil the maintenance tasks per the agreed schedule
- Conduct office inspections, report any problems, including incidents, and arrange the proper fixation and repair
- Coordinate any office renovation related projects
- Review and update the Standard Operation Handbook
- Submit weekly operation tracker for the weekly review meeting with the client
- Submit monthly reports
- Submit monthly operational budgets
- Verify the vendor and building management costs and apply for the payment

- Excellent people skills and ability to interact with a wide range of client staff and demands
- Knowledge of occupational safety requirements
- Strong PC literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions
- Demonstrated experience with continuous improvement initiatives
- Demonstrated experience with client reporting and preparation of reports
