MAJOR RESPONSIBILITIES

1. Floor plan management
weekly maintain floor plan in a2z per request - all show
weekly collect feedback and clear out the blue X in a2z
Timely inform and tracking booth relocation for all HW show
Assist to provide data to draft the floor plan layout
Timely tracking the special approval case

2. Assistance to training/conference
Assist to prepare training PPT
Assist to prepare group selling PPT
Arrange Teleconference for sales team to tracking Q&A
Assist to arrange interwise training

3. Report Preparation
Monthly prepare sales update report
Monthly update written report
Monthly update the comparison report of achievement & manpower between CSF and GSOL
Biweekly update CSF HW AE ranking list
Monthly update PUD Match Guide
Weekly update meeting material for the teleconference
Weekly update Q&A report and distribute to SM/SSs

4. Sales Team Tracking
Timely tracking onsite booking case
Timely tracking the special outstanding case
Weekly collect outstanding tracking result
Timely tracking incentive/competition program sales progress

5. Secretarial to Project Manager
Coordinate group selling
Assist to evaluate Sales Projection
Assist to check 2-level approval
Assist to confirm with SM/SS about their Quota breakdowm
Assist to arrange travel schedule for David Du
Assist to check/solve conflict case
Assist to check refund case/payment transfer case
Half-yearly assist to prepare the travel and headcount budget

6. Settle question of Local AE/SA
Daily Coordinate with responsible person to add new product if need
Daily Assist to pick out the history exhibitor list for AE with a product per request
Daily Assist to check the change request of fascia board from sales frontline
Daily Coach AEs to find the materials from CSF Training site/Exchange
Daily Coach AE/SA to choose the right L4 product from match guide

7. Coordinate with other Dept colleague
Co-work with GSOL counterparts about CSF issues
Coordinate to arrange brochure/flyer/contract/show directory to sales frontline
Coordinate with GSE team to amend floor plan
Assist to coordinate with admin to arrange hotel & ticket for David
Coordinate with training dept to arrange interwise training issues
Timely remind marketing dept to update the sales materials on Exchange (brochures/flyers/eDMs etc.)
Coordinate with training dept to update the sales materials on CSF training site
Coordinate with buyer marketing depts to assign booth for barter media clients
Assist to contact the responsible person maintain define in iplus
Assist to arrange brochure&flyer&show directory print - run
Half-yearly assist to submit sales leads entry plan
Assist to check and adjust Product Index for Show Issue
Provide show history information to Marketing dept for editing eDM

8. Pre-show preparation
Assist to prepare onsite sales plan data table
Assist to arrange the required onsite materials to ESO
Assist to budget the overseas travel expenses in order to determine the proper itinerary
Prepare the show data and nominated ambassador list to management for analysis
Follow up TRFs and submitting procedure
Collect the exhibitors information from AE for ambassador in order to improve renew rate
Prepare the ambassador task list
Prepare onsite booking form
Onsite booking support and coordination (only for Mumbai show)
Onsite booking collection tracking weekly

9. Information Collection
Monthly collect successful story - renew & new & raw clients
Biweekly collect sales forecast from sales frontline
Monthly search competing show information for David
Monthly update the prospect distribution data table
Weekly collect hot prospect list from sales frontline
Monthly collect and update HW competitive show information
Biweekly update HW group manpower
Timely collect the difficulties & requirements and advice from sales team
Timely Collect group selling clients and double call clients
Timely Assist to collect all deadline information and share with sales frontline
Working on competitive show guide, change format into excel, send to sales frontline and tracking for feedback
Timely distribute alibaba clients to sales frontline for tracking
Timely collect the non-renew clients tracking feedback
Timely forward & tracking sales leads to sales frontline

10. Arrange Canton Fair Hunting
Collect the nominated ambassador list from local SM/SS
Consolidated the name list with target & budget, and compare with last hunting result for management’s analysis
Assist to prepare 113th Canton Fair Hunting Plan
Collect & check all ambassadors' TRF and seek for approval
Coordinate with sales team and admin to arrange hotel and ticket for ambassadors
Coordinate with sales team and GZ SA to apply for badge for ambassadors
Collect frontlines’ hot prospect which should key focus on canton fair
Assist to reserve booth for the onsite booking case
Collect and tracking canton fair hunting contracts
Collect hunting learnings and suggestions from ambassador when they return office
Assist to check ambassadors reimbursement percentage with SAs and GSM secretaries
Scan canton fair namecards and distribute to sales frontline
Collect hunting result and prepare hunting report
Collect and tracking Canton fair hunting clients

POSITION QUALIFICATIONS

1. Academic background: University / College graduate.
2. More than one year working experience with Manager assistant.
3. Excellent Office software skills and good command of English.
4. Optimistic and cheerful personality, serious and responsible work, good teamwork.
