JOB RESPONSIBILITIES
Provides direct customer service as it relates to Order Management, including day to day follow up on client orders. Coordinates directly with Vendors to ensure orders requirements will be met accurately and timely and communicates updates to clients. Update systems with relevant data and status changes. Works with UTi operations around the world, the clients and FFSC team members to maintain customer satisfaction and manage scope of service. This position reports to the Manager, Order Management Services.
PRINCIPAL ACTIVITIES
? Becomes familiar with assigned clients, including key contacts, unique requirements and operating processes.
? Manually captures Purchase Orders.
? Monitors Vendor acceptance of Order Terms and Conditions.
? Contacts Vendors for an Expected Ready date and order quantity/CBM if required.
? Ensures the Vendor places a booking with UTi on time and ensure relevant Branch is engaged.
? Captures booking detail and instructs operating branches that shipments are awaiting processing for central booking clients.
? Links the Purchase Orders with shipments after booking created.
? Create/update Consignment plan for required client.
? Compare client date with vendor date based on client’s criteria. Monitor the authorized to ship process and input system remark for required client.
? Monitors service and service metrics and investigates service issues proactively, working with the appropriate teams to implement solutions and communicate them to the client
? Completes regularly scheduled reports
PREFERRED EXPERIENCE AND EDUCATION
? Experience as a Freight Forwarding operator
? Experience in a role involving extensive customer contact
? High School diploma (or equivalent education)
? English language fluency
REQUIRED TECHNICAL KNOWLEDGE AND SKILLS
? Basic understanding of the Supply Chain Management and Logistics industry
? Understanding of the full range of Freight Forwarding services, including order management, movement scheduling, customs brokerage, monitor and control services, cost optimization, and various industry specific requirements
? Advanced skills in using Microsoft Excel (preferred)
? Basic/Intermediate skills in Microsoft Outlook, Word, and PowerPoint
