Position: Facilities Office Assistant
School Section: Whole School
Reports to: Director of Building and Facilities
Qualifications: University Diploma or above
Hours of Work: 08:00 – 17:00 on normal days
Period of Appointment: Full-time
JOB DESCRIPTION
Role Description / Working Relationships
The Facilities Office Assistant, working under the supervision of the Director of Building & Facilities, provides support to the whole office, performs various clerical and coordination operations that require some judgment and experience, coordinate the work among office members.
The Facilities Office Assistant’s responsibilities include, but are not limited to, the following:
1. Conduct billing information checking;
2. Manage, maintain school vehicles.
3. Manage As-built document and drawings.
4. Manage keys.
5. Liaise between Business Office and contractors, to handle billing and payment information.
6. Receive and transmit phone calls and messages to the proper individuals, from parents, staff, students, as well as contractors, greet visitors.
7. Write brief memo and meeting minutes, typing, copying and distribution, collating and filing.
8. Order and maintain office supplies for the office.
9. Provide other supports to the office as needed
10. Perform any other duties as assigned.
PERSON SPECIFICATION
Personal Skills and Abilities
1. Strong organization skills
2. Ability to establish effective working relationships with staff, students and parents
3. Positive attitude with a lot of patience
4. Good computer skills, good knowledge of MS Office, Excel, and Chinese word processing software. Good knowledge of AutoCAD skill
5. Good communication skills
6. Honesty and reliability
7. Capacity to work independently and meet deadlines
Qualifications
1. University Degree
2. Two years work experience performing responsible clerical functions, previous experience must include customer service
3. Be proficient in both oral and written English

Keystone Academy will be opening in the Shunyi district of Beijing in the fall of 2014.
