职位描述
Operations Assistant is responsible for providing administrative, financial and management support in addition to clerical services in order to ensure effective and efficient business operations. In addition they are responsible for ensuring that their office of location functions to the professional standards of Loadstone.
The Operations Assistant reports to the Country Partner to ensure roles and responsibilities are allocated evenly due to capacity, and to ensure a single point of accountability.
Operations Professional Job Duties:
· Managing phone calls and visitors to the office
· Manage time and expense recording
o Weekly generation of time recording report
o Generate monthly time recording report for management verification for billing
o Review expense claims
o Ad hoc time and expense reporting
o Interface with Regional Finance
· Maintain Employee Leave Records and reconcile with Report from BERT and SAP, to ensure accuracy on a monthly basis.
· Execute travel, Visa and accommodation requests and bookings
· SharePoint administration/ creation for business.
· Support HR for new hires (System access, IT, mobile phone)
· Office day to day operations
· Open and distribute the mail
· Monitor and order office supplies
· Office services
o cleaner, air con servicing, repairs etc.
· Manage and maintain office filing
· Manage office events/ staff functions
· Support completion of proposal documentation and submissions
· Ad-hoc support for partners and directors.
Skills/Qualifications:
· 3+ years of related experience
· Knowledge of SAP, MS Office, Windows
· Administration in a professional services environment
· Financial administrative experience (Accounts payable, accounts receivable, billing) in a professional environment
· Ability to multi task
· Flexible independent work style, highly committed, professionally credible, reliable, team player, competent, resistant in an unstructured area
· Strong written and verbal communication skills
· Experienced in managing expectations at different levels
· Fluent in English
