职位描述

Office Administrator (OA)

Report to:
1. PO preparation to OM;
2. Supplier statements to OM;
3. Admin Budgets to OM;
4. Shipping and Logistics to OM;
5. Travel Arrangements to MD & OM;
6. General duties to MD & OM;

1. General:
a) Understand QA concept.
b) Administer PO;
c) Administer suppliers statements & Monthly Budgets;
d) Administer shipping & logistics;
e) Administer Travel arrangements;
f) Develop good relationship with supplier to ensure smooth cooperation;
g) Adequate behaviors and outlooks to suppliery.

2. Project Understand:
a) Understand Each project Detail on PO;
b) Understand CO’s shipping SOP;

3. PO preparation:
a) Preparation PO to suppliers;
b) Issue new PO to supplier and file them.
c) Update the lead time of new PO on weekly meeting.
d) Update the PL once new samples approved.

4. Supplier statement issue:
a) Update the CO PO directory monthly by first weekend of every month and send to OM.
b) Update the supplier statement monthly by the first weekend of every month and send to OM.
c) Update the supplier sample making statement monthly by the first weekend of every month and send to OM.

5. Administration Budget issue:
a) Update the administration budget monthly by 20th every month and send to OM;
b) Update the payment budget monthly by 20th every month and send to OM;

6. Shipping & Logistics:
a) Contact point between shipping forwarder and suppliers on shipping;
b) Arrange and confirm every shipping on time for the planned date;
c) Arrange and confirm the I/E before and after shipping;
d) Send shipping details to COSIN 2 days after shipping from port.
e) Send shipping document to COSIN 3 days after shiping from port.
f) Arrange the shipping cost approval by COUK before shipping.
g) Arrange local shipping and stack the bulk goods for batch shipping.

7. Travel arrangement
a) Edit travel agenda for visiting of suppliers.
b) Arrange ticket & hotel booking with the help of TE

8. General duties:
a) Tax issuing monthly;
b) HR affair monthly;
c) Overtime & day- off of employee register and compile;
d) Stationary planning & booking.

Other affairs related.

Knowledge and Experience:
1 Must have the ability to communicate fluently in both written and spoken English. This is a must the interviews will be held in English, and all documentation prepared and submitted is in the English language.

4 Good team-working skills
