- For our Industry Sector in SHANGHAI, we are looking for a Order Administrator.
What are my responsibilities?
- Follow the set standards and guidelines of Siemens and SMTS, adherence to quality standards and international audit requirements.
- Adherence to all internal and external financial and reporting rules to ensure correctness of bookings & forecast.
- Offer & LoA process (Offer calculation for 3rd Party Customer and/or consortium partners)
- Contract negotiation with the 3rd Party Customer and/or consortium partners.
- Calculation of special project cost and finalization of sales calculation, Preparation and negotiation of bid prices.
- Risk Management from start of the Bid activities to the end of the project execution.
- Verifying the correctness of Order Intake Calculation in coordination with the execution team and setting up the project in SAP, Separate imported parts and local supplied parts.
- Technical liaison with customer. Make sure the goods were supplied correctly, especially for the parts, which have special requirement from customer.
- Check and follow on FIP part.
- Order Intake (SAP) and Order confirmation release
- After receiving orders from sales or affiliate companies, finalize order intake in 5 working days.
- For new material, fill in and follow on ORDER MASTER SET-UP LIST" till Routing is set in SAP.
- Follow order status, supply regular status report to customers. Coordination with all related Dept.( Purchase Dept., Workshop etc ) to achieve on time delivery target. Take care of the customers when they visit during order execution.
- Follow up of customer orders to ensure on time delivery of the goods. Issue of delivery instruction for shipping line item. For Aff, Orders of abroad, support on pushing for SLI, for 3rd party orders, pushing for GR.
- Maintenance of SAP throughout the project execution. Project cost control and analysis including actual/plan comparison. Budget versus actual cost review meetings with the entire project team bimonthly.
- Project reporting according to the defined requirements by using the adequate sources and tools (POC, CCM)
- Handling of Customer invoicing, payments & bonds and L/C (customer or vendor). Verify the correctness of payment to vendors.
- Active Contract and Claim Management
- Handling of all project related tax issues, insurance (EAR), hedging and legal issues.
- Work out monthly progress reports.
- Handling customer complain promptly. Fill in FITBACK, and follow on AR collection, details follow the PPT of AR process.
- Communicate with internal departments to ensure smooth execution of customer orders.
- Implementation of Siemens Export Control and Customs Policy within SLC I MT BU, in order to achieve cooperation objectives. Implementation, Enforcement and Controlling of ICP regulations (Governance Function) and resulting the processes, training and programs within SLC I MT BU.
- Integration of Export Control and Customs related requirements into the business strategies, processes and models; Organize and implementation of the export control and customs compliance process within business.
- Organize the trainings to the related colleagues to enforce the awareness to them.
- Review and controlling of Export Control and Customs activities within SLC I MT BU, including reporting to responsible CEO and Industry Sector ECC
- Conduct monthly spot checks and take actions if have findings.
- Support Industry sector ECC to conduct the implementation of Export Control and Customs Policy
What do I need to qualify for this job?
- 5 years experience
- Project experience min. 2 years
- Experience in working in international teams
- Good knowledge on International trade business and national /international regulations.
- Good English in both oral and written.
- Good cooperation spirit with colleagues in other functions.
- More than 3 years in supply chain management or process controlling with the focus on sales, procurement, logistics.
