Responsibilities:


  • Deliver high quality executive support to the executives that he/she has been assigned to work for, maintaining privacy of executive and company.
  • Maintain open dialogue with executives to understand expectations.
  • Ensure quality, timeliness, and cost-effectiveness of arrangements/deliverables, and ensure that results meet executives' expectations, including for tasks outsourced to others.
  • Communicate the status of arrangements/deliverables to executives including contingency plans and outstanding items.
  • Greet visitors (e.g, clients, customers, recruits, vendors) from Reception on behalf of the executives as required.
  • Maintain executive preferences for travel resources. Maintain executives' calendar.
  • Outsource projects/tasks to internal or external business service providers as appropriate.
  • Create plan for coverage in your absence Adhere to standards and processes (e.g., telephone answering, documentation standards, space reservations).
  • Support projects for the team operations in terms of presentation materials, distribution list maintenance, organizational chart maintenance and other projects as agreed to.
  • Suggest methods to improve deliverables across all the activities detailed below.
  • Flexibility in role to handle a growing, entrepreneurial environment and additional responsibilities as necessary

Administrative Support:


and resolve billing discrepancies (travel charges), charge code issues and time report issues.

  • Locate and assist with completing standard Avanade process forms.
  • Create and maintain paper-based and electronic files as needed (including archiving, retrieving, and deleting).
  • Maintain detailed agenda for executives on a daily/hourly basis if requested by executives.
  • Schedule and coordinate appointments/meetings, including extensive rescheduling; keep executives and others informed as needed.
  • Research ther administrative tasks (e.g., send/receive faxes, assemble binders, photocopy) as necessary.

Travel Support:

  • Coordinate complex travel arrangements with travel provider often involving multiple changes and destinations.
  • Identify and handle all implications related to changes in travel plans.
  • Work with travel provider to ensure travel arrangements are within Avanade policy.
  • Verify accuracy and completeness of travel documents and plans and arrange for timely delivery.
  • Ensure upgrades are requested in advance according to executive preference (where applicable).
  • Forward changes to executive travel profiles to travel provider.
  • Assist with documentation required to obtain work visas and passports.
  • Ensure credit is obtained for unused tickets.

Meeting Coordination:


  • Determine meeting date and time according to meeting participants' schedules and time zone considerations. Work with other attendees EA's where applicable.
  • Submit requests for meeting space, appropriate equipment/technology, catering.
  • Arrange accommodation and transportation, including central billing and obtaining group rates when appropriate.
  • Contact meeting participants; handle responses.
  • Draft and send meeting correspondence (e.g., agenda, invitation) with input and review by executive.
  • Prepare and distribute meeting materials.
  • Attend and support meeting, including taking minutes if requested.
  • Follow up on action items and report status to executive/meeting attendees.
  • Send follow-up correspondence (e.g., meeting minutes, action items).

Document Production:


  • Prepare draft of non-routine correspondence according to Brand Guidelines (designated by Marketing) for signature by executive.
  • Transcribe notes from various sources (e.g., conference calls, voicemail, flip charts).
  • Prepare documents including advanced graphs, charts and boxes with text, photos, color effects and animation for executive and group projects as necessary.
  • Suggest methods to improve deliverables.
  • Coordinate requests according to Brand Guidelines (e.g., web design, video, complex multidimensional graphs) ensuring accuracy and completeness of arrangements/deliverables.
  • Print, reproduce, assemble and distribute material, ensuring accuracy of deliverable.
  • Proofread documents/materials for consistency, grammar, and spelling.
  • Leads in the Support focus area. Provides Strategic Direction in the Administrative Duties focus area.
  • Reviews/Validates in the, Policy Interpretation, Team Event Planning and Travel Planning focus areas.

Scope of work:


  • Autonomy and Decision-making: Takes self-directed actions within defined broad goals and direction; Supports VP/GM; 1-2 individuals. Makes a variety of decisions, some complex in nature, affecting their own and others' work which have a major day-to-day impact. Deals with some confidential information medium complexity Special Projects.
  • Daily Work: Contributes to defining goals and policies for their area of work and is responsible for achieving defined targets. Supports budget planning activities within their function.
  • Impact and Contribution: Works independently to achieve objectives and deliver results that impact the success of the whole team; Peer reviews the work of others; Collaborates across teams and departments; Liaison for executive, upon request. Responsible for own performance - minimal supervision required
  • Manages own time and organizes own workload on a daily and weekly basis.
  • Managing People: Monitors, evaluates, seeks and provides feedback on the performance and outputs of team members; Identifies, coaches and develops key talent on administrative team, readily sharing skills, knowledge and information with colleagues
