Job Responsibility for Business Planning Manager:
? Team and Stakeholder management (Doman Heads, HR, CRES, Finance, L&C, Vendors)
? Responsible for Tech Dept official announcements & communications to Internal and External entities. Eg. Internal Department communications, external GT Chronicle, GTO stakeholders updates.
? Prepare Weekly, Monthly and Quarterly achievement report to Senior Management. Be creative and dynamic with communicating Tech achievements
? Own and maintain Technology Sharepoint site contents. Work with Sharepoint team to deliver timely broadcast.
? Own, Devise and Maintain Technology department artifacts and processes Eg. Technology department processes, ORG charts etc
? Department CSR Ambassador. Partner CA team on CSR engagements for the Technology department.
? Chief Planner for Tech Department Team Bonding, Annual celebration and Tech clubs etc. Propose and manage budget allocated for each of the activities.
Manage various Department support teams as below:-
Manage Programme Management Office
Examples of PMO scope (refer to JD for details)
? Be accountable for accurate cost recovery for Technology
? Meet regulatory requirement for Scope China (ie Transfer Pricing)
? Ensure timely and accurate timesheet entry
Manage Resource Management Team
Examples of RMT scope (refer to JD for details):
? Track ERRF requests against Target Operating model
? Provide weekly TOM report to Tech Head
? Collate & Submit weekly ERRF requests for Dept Head/CE approval
? Interface with GSSC for Hiring code
? Own & maintain accurate Technology TOM (department resource onboarding & movements)
? Collaborate with Admin, HR, CRES, IT, Finance on Headcount movement forecast and plans eg. Onboard forecast
Manage Department Administration team
Examples of Dept Admin scope (refer to JD for details)
? Department Travel administration
? Ensure accurate submission of SOW, T&E, ePro expenses for approval
? Department Visitor administration (Invitation letters, access cards, airport transfer, team event gathering plans etc)
? Stationary tracking, control and management. Provide monthly expense report on stationary utilization
? Monthly reporting of Seat capacity tracking and allocation by cost center
? Department HW inventory management. Work with IT for hardware pre-ordering for new joiners on-boarding
? Manage software requests for new joiners (RMS request by team as required)
? Managing HoD’s daily calendar and SharePoint calendar
? Facilitating regular team meetings (Meeting set up, agenda )
? Taking note & publishing MANCO meeting minutes
? Contractor’s timesheet consolidation (monthly)
Invoice & Payment Support – be familiar with the processes below
? Raise E-Pro & Track PO payment for contracted services
? Documentation control for audit purposes (MSA, SOW, Invoices etc)
? Perform monthly accrual for valid SOWs to Finance (for resource and maintenance agreements)
? Receive, validate and process Team claims. (eg. OT, shift-work expenses etc)
Qualifications & Skills:
? Minimum 15 years of experience working in an MNC with diverse culture
? Strong Stakeholder management skills. Enjoys interacting with people and able to relate to people and understand and react to complex issues quickly
? Excellent command of English and Chinese. Ability to read/write in both languages
? Strong Presentation skills
? Resourceful and able to work independently
? Good knowledge with MS Office (esp Powerpoint, Excel & Word)
? Experience with MS Sharepoint, Flash and basic html is an added advantage
