Job Description: Customer Service & Documentation Co-ordinator
Experience: Min 3 years within Freight Forwarding / 3PL Logistics
Knowledge: Extensive knowledge of freight forwarding, shipping commercial procedures; freight rate structure; Sea & Air documentation including - shipper/consignee, internal, carrier and customs documentation requirements.
Language Skills: Excellent spoken & written English skills a must
Native spoken & written Mandarin
Reporting To: General Manager - Freight Forwarding & Logistics
Duties will include:
Export / Import Documentation:
* Co-ordinate all Export / Import documentation requirement for both Sea & Air freight shipments
* Co-ordinate (confirm) booking information and documentation requirements with clients
* To ensure cargo booking to vessels through shipping agent or direct on INTTRA
* To ensure cargo bookings are entered into Links system
* To ensure all data is provided to carrier(s) and their shipping agent in timely manner, and compliant with AMS (US customs 24 hour rule) & ENS (Europe customs 24hour rule)
* To check all data information for Bills of Lading is receipted (from clients), provided to Carrier & Shipping agent and cross-checked to ensure all information is correct and agreed by client prior to B/L issuance
* To create Export / Import documentation and ensure receipt of all customs documentation received/collected from clients and that all information is correct in accordance with shippers bookings and forwarding instructions
* To create booking lists and issue documentation to Customs Broker for customs clearance
* To issue documentation to shipping agent and transport companies
* ensure follow-up with customs broker for customs clearance verification per shipment
* ensure follow-up with customs broker for return of tax rebate forms and confirm when returned to client
Bookings / Operations Support
* liase with customer regarding cargo readiness and date/time booking for transport
* ensure transport (truck, barges etc) are booked in accordance with customer cargo collection requirements against bookings
* ensure transport companies are in possession of correctly stamped (carrier / customs) prior to collection of cargo for delivery to port
* confirm cargo/container delivery to terminal for loading
* verify any transport demurrage claims through gate-in / gate-out stamp receipts
* confirm all cargo loaded onboard vessels - upon sailing and issue confirmation /advice to Links management, sales and customers accordingly
Customer Service & Internal Sales Support
* assist sales in servicing customer requests
* attain freight rates from shipping lines for all types of cargo in accordance with required terms & conditions of shipment
* arrange "Marine Insurance" for shipments as necessary
* close communication with Management
* receive and process booking information from sales & or customer
* Insert bookings into Links system
* Send booking notes / booking confirmation to customer
* contact shipping agent/carrier with regard booking situation
* check cargo arrival at Terminal & communicate this to Management, Operations & Sales accordingly
* Manage complaints & exceptions, reporting to Links Logistics Shanghai Management
* Ensure sailing schedules, terminal receiving open / cut-off, documentation cut-off date/times and issued to customers
* Any other requirements as directed by Links Logistics Shanghai Management
* Consolidate weekly sales visit schedule and industry sector sales information
* Monitor potential cargo bookings which are rejected
* Analyze competition & freight rate levels
