职位描述
Key Objectives
Perform full secretarial and administrative duties for and on behalf of the General Manager maintaining a high degree of confidentiality.
An active role as a member of the team work independently and in conjunction with the General Manager
Major Responsibilities
Autonomous management of General Manager’s schedule, determining priorities in terms of objectives and deadlines that must be met.
Determining which documentation reaches General Manager to ensure the most effective use of his time and filtering documentation without relevant requirements.
Evaluating which random demands require the involvement of the General Manager and then to facilitate this.
Initiating the distribution of information to relevant managers, facilitating the execution of tasks, thus improving overall operating efficiencies.
Responsible for the collation of documentation/information for discussion and action. Operate, maintain and control an effective “follow-up” system, essential in terms of what is required in order to meet the various deadlines of General Manager.
Full responsibility for the organization of department meetings, compilation and distribution of the agenda. Document decisions, write and circulate minutes, follow-up system. Operations meetings held weekly are documented and minutes circulated.
Responsible for the enforcement of company policy in terms of procedures including travel, expense claims, personnel changes and appointments, loan cars etc.
Interfacing with importers who need to communicate with the General Manager on various issues.
Preparing paper work for sales allowance and other budget related issues, make sure proper filing system and office administrative works.
Education / Degree
Bachelor degree above.
Knowledge / Skills / Competences
Fluent in Chinese, English, German.
Familiar with all known Microsoft Programmers, excellent skills in PowerPoint, Excel etc., good corporate background,
Friendly and welcoming personality.
Stong communication and organizational skills.
Attention to details.
Experience
Minimum of 3 years at executive secretarial level in a corporate environment.
