Initial (Temporary) Duties and Responsibilities till CSR returns:
Administrative
1.Manage petty cash, maintain petty cash report
2.Assist GM, Greater China for daily administrative tasks.
3.If required perform reception function, including greeting guests, answering telephone for Codonics China office.
4.Sending, receiving and sorting mails and couriers.
5.aintain the office in professional appearance.
6.Type all reports for the GM, Greater China from shows and site visits.
7.Reads and routes incoming mail (as necessary).
8.Manage travel arrangements for GM, Greater China and other staff.
9.Schedule & manage meeting room facilities, including menu planning for meetings and trainings.
10.Coordinate and prepare meeting agendas and the respective meeting minutes.
11.Reconcile and file expense reports for GM, Greater China.
12.Translate correspondence, product and marketing material.
13.Provide oral English-Chinese translation for English only speakers.
Sales and Marketing Support:
1.Determine contract status, contacting sales reps to determine if extension letters should be sent and then issuing them.
2.Process orders in Epicor (ERP System) , coordinate the shipping and payments with customers.
3.Express sales contracts with VAT Fapiao to customers.
4.Contact & follow-up with the distributors to identify end-user and modality information.
5.Maintain an adequate stock of product literatures in the office. Distribute literature based on distributor/dealer/OEM requests.
6.Request quotations on print jobs for new brochures and stationary.
7.Active involvement in mailer programs for OEMs by working with the Codonics print factory to obtain samples for these mailings.
8.Work directly with the mailing house to oversee entire mailing after a marketing piece has been approved.
9.Distribute and communicate new brochures to sales staff.
10.Communicate with major OEM accounts for which we have created specific brochures
11.Type correspondence to accompany new literature or custom mailings.
12.Route support questions and general inquiries from the Web site.
13.Route all leads via the Web to the appropriate sales staff for follow-up.
14.Arrange shipping and receiving of demo machines and demo consumables.
15.Schedule & coordinate printer placement, media requirements & blanket orders for trade shows.
16.Assist in booking hotel rooms, cars, and flights for trade shows.
17. Distribute trade show and magazine leads to the appropriate CSRs or sales reps.
18.Performs research as assigned, such as market information, competitor information, vendors for particular services.
Operations Support:
1.Collect monthly forecast for distributor/OEM.
2.Convert both verbal & written equipment orders to Codonics database & use associated reports & computer systems to track customer orders.
3.Collect monthly service reports and service inventory reports and enter into ERP system as required.
4.Initiate courtesy calls to customer database, & acquire product knowledge to maintain superior customer service support.
5.Conduct customer satisfaction survey and escalate major complains.
6.Occasional travel, short periods, up to 2 to 3 per year.

2. Reconcile inventory reports with appointed logistics partner, maintain and release inventory report weekly.
3.Manage cash activities, cash application and payment weekly.
4. Manage customer accounts receivable, interface with customers.
5.Issue and verify VAT Fapiao, maintain VAT reports.
6.Utilize Enterprise Resources Planning system “Epicor”.
7.The company believes in cross training. All personnel will be trained to occasionally act as backup to other positions.
8.Property management.
9.Other duties as assigned.
Administrative
1.Keeping an efficient filing system for documents according to corporate standards.
2.Maintaining signed contracts and agreements in document control, and distribute to HQ for filing.
3. Manage some aspects of Document Control, ISO and FDA procedures.
4.Assist in smooth running of the office.
5.Occasional travel possible.
Skills Required:
1. Excellent verbal and written communication skills. Fluent verbal and written English and Chinese.
2. Excellent computer skills with accurate & fast typing ability and use of Microsoft tools skills level 2-3+.
3. Ability to be resourceful. Internet research skills.
4. Individual must be energetic, neat, organized, and able to multi-task in a fast paced environment & take direction well and exercise problem solving ability to facilitate company growth.
5.Must work well under pressure & be self-managing. Multi-tasking a must.
6.Detail oriented. Superb with follow through. Problem solving skills a must.
7. Excellent interpersonal skills.
8.Superior data manipulation skills is preferred.
9.Education and Experience:4 year degree, plus minimum one year experience in workforce
