职位描述

Responsibilities area:
Key responsibilities and accountabilities:

1.To assist the PM in project business controlling tasks
- Overall coordinator for IR, time schedule, cost follow up, rental income etc., prepare follow up to project committee and extended project committee.
Support the PM in preparing and monitoring the SGM Agenda
Support the PM in preparing and monitoring all the mandatory documents requested by the SGM Agenda
Support PM in preparing and monitoring data for IRC and develop a good understanding of the budget
- Weekly monitoring and follow up on procurement package time schedule
- Assist the PM to coordinate and run weekly project key members meeting and commercial meeting with leasing and concept.
- Support the PM for internal audit for the project
- Facilitate and coordinate quarterly meeting between IICG and PCM for project priorities and follow up project priorities
- Be project contact window and coordinator to central internal communication and marketing. Support on coordination between project and property department

2. Project document control and documentation
- Overall responsible for document control and project documentation
- Closely monitor and work with PCM for the implementation of document control and project documentation
- Organize and monitor the project documents on the internal server
- Organize and monitor the mandatory project documents needed to be shared with the third party with the e-system
- Prepare project presentation when requested
- Super user for project management tool such as Aconex etc.
- Organize and assist the PM to follow up the internal project meeting
- Take accurate MOM when necessary
- Spread the project updated information within the organization

3. To assist the PM in coordination with phase 1 project
- Support the PM to review and approve common cost which shared between IKEA and IICG Beijing project
- Support the PM on IKEA opening
- Organize and run weekly IKEA/IICG coordination meeting

4. Other project coordination tasks
- Coordinate and provide internal trainings for Aconex, Webex when needed
- Coordinate the internal training plan
- Provide communication support for traffic related issues
- Relative support on admin and payment transfer from Shanghai,
- Change order implementation & closure monitor together with project commercial team
- Package leader or support of package leader for services related to marketing, property (TBD)

Person profile – Project Coordinator

Personality: Self-driven, results-oriented with a positive outlook, and a clear focus on high quality and business profit. A natural forward planner who critically assesses own performance. Mature, credible, and comfortable in dealing with senior big company executives. Reliable, tolerant, and determined. Empathic communicator, able to see things from the other person's point of view. Well presented and businesslike. Sufficiently mobile and flexible to travel up to a few days per week . Keen for new experience, responsibility and accountability. Able to get on with others and be a team-player.
Personal Situation: Must be mature and domestically secure. Able to spend two/three nights away per week without upsetting domestic situation. Able to commute reliably to office base. Able to work extended hours on occasions when required.
Specific Job Skills: Able to communicate and motivate via written media. Understands the principles of marketing and advertising cost-effectiveness, including market sector targeting, product offer development, features-benefits-solutions selling, cost per response, cost per conversion, etc. Appreciates need for consistency within company's branding and marketing mix, especially PR and the Internet.
Computer skills: Must be adept in use of MS Office 2000 or later, particularly Excel and Word, and ideally Access or similar database to basic level, Internet and email.
Literacy and Numeracy: Able to understand profit and loss calculations and basic business finance, e.g., gross margin percentages and calculations, depreciation, capital and revenue expenditure, cash-flow, overheads, etc. Must be a very competent writer of business letters, quotations and proposals.
Business and Skills: Must be an excellent face-to-face. Able to demonstrate success and experience in coordination, presentation. Experience of tenders would also be useful. The candidate must have a presentation skill to reach a high conviction level when presenting topics for decision
Management Ability: Though internal staff management is not initially part of the job, responsibility and opportunity could grow with the development of the business, for example the prospect of managing different resources within different department, not directly but by coordination needs. Some people-management skills, experience and natural ability will be useful.
