Position Responsibilities:

- Provides unparallel consultative customer service and the customer experience to meeting owners and attendees

- Qualifies meeting objectives and parameters to ensure RFPs are sent to venues matching respective criteria

- Conducting material and supplier risk assessments, establishing KPI’s and implements process improvements

- Sourcing through online e-sourcing tool following standard operating procedures

- Negotiation of best possible rates and program concessions for the meetings leveraging client supplier relationships

- Ensuring client is appropriately informed of and represented in all terms and conditions during the contract process including their legal addendums

- Tracking and monitoring data input that is stored within the technology tool in sourcing

- Proactively escalating potential client or supplier issues to manager for resolution. Involve client where appropriate

- Staying current with supplier agreements, relationships and industry trends through attendance at weekly team meetings, supplier presentations, and monthly sourcing calls

- Meet and exceed client service level agreements in regards to venue sourcing and other relative functions

- Fully supporting the larger team through workload sharing, and brainstorming opportunities.

- Partners with Meeting Planning Companies throughout the venue sourcing process to ensure client needs and requests are met as well as billing reconciliation after the meeting.

- Constantly identify and strive for continuous improvement of Meeting and Event processes, procedures and tools.

Position Requirements

- College’s degree in business administration or other relevant discipline

- Minimum 1-2 years of current relative Meeting and Event Management experience required

- End to end meeting management technology experience will be a plus, such as Lanyon/Cvent

- Good problem solving, excellent organizational and project management skills, able to work well with cross-functional teams

- Good financial acumen and negotiation skills

- Computer proficiency in Microsoft office suite

- Good communications skills: verbal, written and presentation

- Fluent in English

- Ability to remain calm and composed under stressful situations

- Good multi-tasker who works well under pressure

CWT China
