Summary: The U.S. Mission in Shanghai is seeking eligible and qualified applicants for the position of Administrative Management Assistant.

The work schedule for this position is:

? Full Time (40 hours per week)

Start date: Candidate must be able to begin working within a reasonable period of time of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Supervisory Position: Yes

Duties: The Administrative Management Assistant serves as the Senior Local Employee (LE) Advisor for the Management Section, specifically the Management Specialist supervising the Customer Service Center (CSC). The Administrative Management Assistant facilitates the Management Officer's interactions with the Management (MGT) team, the consulate community, and outside contacts. Using excellent customer service skills, the Administrative Management Assistant serves as the key point of contact for customers seeking a wide range of administrative services from the Consulate and is responsible for the creation and coordination of schedules for official visitors. The Administrative Management Assistant creates a wide range of correspondence and manages electronic document files, and independently manages many types of special projects, in particular all consulate interactions with the Shanghai Foreign Affairs Office. The Administrative Management Assistant supervises 1 administrative assistant, who handles completion of routine tasking with incumbent's direction. The Administrative Management Assistant is the subject matter expert for Consulate Management procedures — including timekeeping, diplomatic communications, International Cooperative Administrative Support Services (ICASS) and Quality programs, and manages the diplomatic ID and visa program for over 100 U.S. direct hire (USDH) and their families.

Qualifications and Evaluations

Education: Bachelor's degree in Economics, Finance, information systems, Statistics, Human Resources, Organizational behavior/ psychology, Education, Management or Business Administration is required.

Requirements:

EXPERIENCE: Three (3) years working experience in a management, research or analysis, or customer service management environment is required.

Evaluations:

LANGUAGE: Level 4 (Advanced Proficiency) Speaking/Reading/Writing in English is required. (This will be tested.) Level 4 (Advanced Proficiency) Speaking/Reading/Writing in Chinese is required.

SKILLS AND ABILITIES: Minimum typing speed: 40wpm.

Qualifications: All applicants under consideration will be required to pass medical and security certifications.

The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service. Acceptable documentation must be submitted in order for the preference to be given.

** This level of preference applies to all Foreign Service employees on LWOP and CS with re-employment rights back to their agency or bureau.
