职位描述
ROLE
Supervise overall office management and provide admin support to all departments.
RESPONSIBILITIES
? Supervise overall admin functions including office supplies purchasing, travel, pantry, reception service functions related to admin, security, office equipment leases etc.., including but not limited to:-
? Answer phones courteously and professionally, taking messages upon necessity
? Reception clients and visitors
? Receiver and hand out all in and out mailings accurately and timely.
? Organize hotel and travel reservations, and provide support for meetings and events
? Manage and order stationery and office supplies
? Assist printing business cards and other related printing
? In charge of company bulletin, check memorandums and notices from all departments
? Manage company filing
? Be responsible for maintenance of office equipments including fax machine, copy machine, drink machine, air conditioning and etc.
? Set up maintenance filing of office machines and take a maintenance record in time
? According to the finance policy, make an inventory of fixed assets and register, make the united purchasing budget and plan for office furniture and office machinery
? Manage all IT issues with IT company support
? Lead the activity supports like annual dinner, events and meetings etc
? Formulate & maintain office policies & procedures
? Provide support to all departments as per request
? Work professionally, hands-on in a fast growing organization
? Develop an understanding of Gleeds’ core values
REQUIRED STANDARD OF QUALIFICATIONS
? Bachelor degree in English or administration or relevant majors with at least three years MNC working experience in office administration area.
EXPERIENCE & KNOWLEDGE
? At least 3 to 5 years office administration experience in a multi-cultural MNC environment Excellent communication skills, both written & verbal (English and Chinese)
? Excellent organizational and multi-tasking skills
? Ability to work independently and efficiently
? Able to work under pressure & excellent team work player
? Excellent computer skills; MS Office proficiency is a must
? Knowledge and experience of dealing with office moving, fitout and defects preferable
? Intelligent, reliable, patient, sharp, quick, outgoing, personable, and sociable
? Nice presentation (i.e. dresses nicely, professional)
? Experience of dealing with basic HR tasks preferable
