Position: Business Partner Due Diligence (BPDD)

Scope, objective and relevance of position:

Business practices based on integrity and compliance are integral components of the company culture at Volkswagen. To ensure that the business practices of business partners of VW are likewise based on integrity, VW performs due diligences for business partners (BPDD).

This position is responsible for the BPDD daily operations, to ensure that the suppliers being checked effectively and efficiently according to the BPDD process and BPDD policy is being strictly followed during the sourcing processes.

The position is also key user of relevant systems ( e.g. POXORA, S-LiDa…). With such responsibility, the position should account for data maintenance and data quality in the systems.

Both external and internal communications are indispensable to this position.

Key Tasks:

1. Responsible for performing Business Partner Due Diligence (BPDD) within Purchasing Department in the scope of S-rating process for all Business Units within VCIC, Audi China, Mobility Asia and ATD/ATJ

• Responsible for following the sourcing processes from bidder list setup till nomination with respect to BPDD, to ensure Volkswagen policies of BPDD and Sustainability Management in Supplier Relations are strictly followed

• Proactively follow the BPDD process to ensure the process efficiency and effectiveness.

• Collect and document all relevant information for China specific offline process following Cyber Security Law.

• Collaborate with WOB, Compliance, buyers and business units on relevant BPDD cases.

2. Responsible for BPDD process implementation and management in PROXORA.

• Originator role in the Compliance Business Partner Due Diligence system “PROXORA”, hereby collect information and evaluate the potential risk exposure and/or compliance and integrity concerns towards management and Compliance Department.

• Proactively check S-LiDa (Group sustainability supplier database) system on a daily basis with respect to GLOBE (Group sourcing system) processes to identify the necessary requests within PROXORA.

• Perform offline scope-check of potential suppliers following VOLKSWAGEN group BPDD policy.

• Communicate with buyers, business units and suppliers in order to collect relevant information and documents for the creation of suppliers and Upfront Risk Assessment (URA) within PROXORA.

• Create new business partner in PROXORA if necessary.

• Perform scope-check of suppliers in PROXORA system.

• Conduct Upfront Risk assessment of in-scope suppliers by filling out all required information and upload according evidences in PROXORA.

• Submit Upfront Risk Assessment (URA) result for approval in PROXORA and explain to approvers accordingly.

• Send out the deep assessment Business Partner Questionnaire via PROXORA, in case the URA result is “medium” and “high”.

• Follow-up and coach suppliers on the Business Partner Questionnaire filling out.

3. Responsible for managing supplier integrity concerns

• Collect and identify integrity concerns of a supplier from business units, buyers and public medias.

• Document integrity concerns within PROXORA,

• Check all hits from World-check on a daily basis to identify potential integrity concerns, and document integrity concern within PROXORA.

• Communicate with Compliance, buyers and business units on integrity concerns.

4. Responsible for BPDD reporting

• Escalate BPDD cases once it is necessary.

• Report suppliers’ BPDD status to management

• Align relevant BPDD cases in weekly sustainability meeting.

Qualification and skills:

• Bachelor degree or above, in supply chain management, economics, business administration, etc.

• 5+ years working experiences in auto industry;

• Professional experiences in business partner due diligence management is preferred;

• Experiences in supply chain management is preferred;

• Knowledge of international and local laws/regulations about compliance is a plus;

• Skills in IT system operation;

• English speaking, German is a plus;

• Familiar with MS office;

• Strong communication skills, high loyalty, team player.
