Job Outline:
This role will provide administrative, communication and logistic support to the Departments of Library, Research and Learning Resources. This position performs a wide variety of administrative support services, all of which contribute to the efficient and professional operation of the departments.
Qualifications:
Essential
- Bachelor degree and above;
- Knowledge of general office procedures, protocol and professionalism;
- Good skills in planning and organizing;
- Excellent English language skills (grammar and spelling);
- Good IT skills (Microsoft Office applications, email and the web);
- Good telephone and in-person communication skills and discretion;
- Experience of working in a team environment, developing interpersonal relationships, and communicating verbally and in writing;
- Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time and meet deadlines.
Desirable
- IT skills of graphic design, video editing or in other digital media area;
- Experience in administrative assistance to faculty, staff and students in an academic environment.
Main Duties and Responsibilities:
1. Administrative and Clerical Support
- Coordinate and support departmental meetings including scheduling, space coordination, a/v support and minutes-taking;
- Develop and coordinate staff professional development programme including departmental team building activities and new staff training;
- Liaison with other UNNC professional offices (HR/Finance/Procurement/IT/Facilities) to support department work, keeping updated with the latest policy/workflow regarding administrative work and offering relevant support/guidance to department staff;
- Archive management of department annual data, pictures of big events and important documents (policies, plans, reports, etc.);
2. Communication & Engagement
- Manage digital signage publish and website maintenance;
- Support departmental publications in editing and polishing, e.g. Annual Report;
3. Visitor reception
- Develop visitor reception plan;
- Organise visitors’ touring campus and library;
- Plan and manage gift for visitors;
4. Project Management
- Take the role of project coordinator for the department;
- Manage, archive and well-organise project documents;
- Arrange project meeting timely and record efficiently;
5. Logistic and event support
- Manage staff lounge including space, appliance and consumable supplies;
- Manage departmental logistic assets including gift, stationary and daily supplies;
- Coordinate and support departmental special events including scheduling, space, a/v support, suppliers and photo taking;
