职位描述

MAIN RESPONSIBILITIES     

·         The Event Executive, in collaboration with other team members, will develop, and maintain a professional rapport with existing clients, and other key suppliers, and stakeholders in all market segments.   

·         The Event Executive is responsible for the development and production of event concept/s and budget proposals, and where applicable, include personal and/or joint presentations to, and proactive follow-up with customers in accordance with all stated time frames.    

·         The Event Executive is responsible for the professional implementation and management of each event for which he/she is responsible including post event evaluation, and timely budget reconciliation and customer billing. 

·         The Event Executive will work cooperatively with other team members with respect to receiving/processing sales leads, relaying customer briefings, and in the provision of customer feedback, market intelligence, and other relevant information.


Job Description    

Operations

·         Maintain current, orderly and accurate customer event files (hard copy and electronic), including allocation of event numbers and required event information for inclusion in the master event schedule.

·         Maintain a healthy and professional working environment with all members of the team and collaborate well with other Event Executives and Coordinators.


Event Management

·         Support the project lead with the development and production of innovative, profitable event solutions and budget proposals in accordance with client briefs.

·         In every instance ensure line items are procured at the most affordable cost without compromising quality of delivery.

·         Assist in the identification of preferred suppliers and oversee supplier briefings for the individual design elements and quoting process to ensure event outcomes can be delivered as planned.

·         Onsite implementation and running of each event aspect/function that he/she is responsible for.

·         Ensure the timely and accurate reconciliation of supplier accounts, and generation and dispatch of final customer invoice and feedback form.

·         Be able to identify design and scenic/production for event and a good knowledge of how everything is set/produced/maintained.

·         A good knowledge of Audio-Visual Production, design and set production. Digital event and visual technology experience is a bonus.


Internal Relationships

·         Work co-operatively with all team members and provide creative and technical input on proposals when requested, and liaise with suppliers as necessary.

·         Provide weekly verbal or written reports on the status of current and planned activities including events, customer contact details and feedback, market intelligence, and any other relevant information.                                                             

External Relationships

·         Establish and maintain professional, ethical, and commercially viable relationships with new and existing customers, including the timely delivery/presentation of proposals and revisions, and in response to subsequent customer contact.

·         Establish and maintain professional, ethical and profitable partnerships with all suppliers, ensuring they understand, are educated in, and adhere to the ethos of MCI China and its procedures and standards.

·         Pro-actively encourage and engage supplier expertise in the design of new proposals, keeping abreast of new possibilities and offerings.

·         Provide regular professional feedback to suppliers giving individual or collective recognition of exemplary work achieved, or constructive criticism where warranted.


Reporting

·         The Event Executive immediate line of responsibility and accountability is to Associate Account Director.


Job Requirements 

·         Permanent Full-time Position  

·         Remuneration will be negotiated but will be commensurate with experience and expertise and linked to agreed performance outcomes.

·         There will be a three to six-month probation period.   

·         Minimum 2 years of relevant event experience   

·         Exceptional organizational and project management skills    

·         Strong proposal writing presentation skills

·         Fluent in English and Chinese required 

·         Ability to work independently and contribute in a team environment  

·         Creative flair 

·         Strong desire to succeed
