Direct Reports to: GM, Greater China
Matrix Reports to: Associate Director, HR, Greater China
Location: Beijing, China
Job Summary:
Responsible for local office administration duties and HR administration work.
Provide ad hoc support to GM, Greater China as needed.
Major Accountabilities:
Specific Responsibilities:
Office Admin:
1. Answering phone calls and attending to visiting guests at door.
2. Coordinating incoming and outgoing mails and documents
3. Managing and ensure adequate stationery and pantry supplies
4. Managing office cleanliness
5. Coordinating name cards printing, office keys and door access administration
6. Coordinating on office furniture/fixture, corporate phones system and photocopier matters
7. Liaising with external vendors and contractors such as IT, building management, suppliers, etc
8. Plan and organize group meetings to provide an effective communication platform between management and employee (i.e.: Town Hall Meeting, National Sales Meeting etc.)
9. Responsible for handling expenses claim report of General Manager Greater China.
10. Coordinate on business travel arrangements, business schedule for the General Manager Greater China.
Human Resources:
1. Support Recruitment and New Hire On boarding: interview coordination, work with RPO to ensure reference check is on-time delivered, prepare employment contract, new hire information collection, new hire orientation schedule.
2. Employee life-cycle management: probation tracking, employment certification/visa letter preparation. China HC report and org-chart update, employee exit process.
3. Work with CIIC to prepare and validate monthly payroll for China. Provide payroll administrative supports to country HR (ie.: annual average salary declaration, severance calculation etc.)
4. Handle employees’ queries on HR matters such as benefits, policies etc. Work with CIIC to answer employees’ inquiries related to social insurance, medical insurance etc.
5. Maintain Teva HR systems to ensure accurate provision of data
6. Manage China employees’ leave application process and track leave records/balance.
7. Support country HR on employee handbook revision.
8. Provide supports to Greater China HR initiatives and HR programs.
9. Support local CARE team to organize employee activities.
10. Maintain personnel files in confidential manner.
Qualifications & Experience:
Diploma or above in a business or HR related discipline.
At least 4-5 years of relevant experience in office administration, with minimum 2 year experience in HR administration
Experience working in multi-national companies or service in MNC setting
Experience working in a global multi-national pharmaceutical company is an advantage
Bilingual in English and Chinese (written and spoken)
MS Office (Word, Excel, Outlook) proficiency
- Good communication and interpersonal skills
