Summary: The U.S. Mission in Beijing is seeking an eligible and qualified applicant for the position of Travel Assistant.
The work schedule for this position is: Full Time (40 hours per week)
Start date: Candidate must be able to begin working within a reasonable period of time of receipt of agency authorization and/or clearances/certifications or their candidacy may end.
Supervisory Position: No.
Duties:
The Travel Assistant manages all facets of domestic and international travel reservations to include mode of travel, hotel reservations, and third country visa requests for Mission China personnel, official visitors, and U.S. Government Officials. The jobholder is responsible for interpreting and explaining complex government and airline travel regulations to ensure employees are executing travel appropriately and that their individual needs are met. The jobholder reviews billing from the Travel Management Center (TMC) and provides quarterly workload counts for all 45+ ICASS subscribers. The position is in the GSO Travel Unit of the Management Section and receives supervision from the Travel Unit Supervisor.
Qualifications and Evaluations:
Education: Completion of bachelor's degree in Administration, Logistics, Tourism/Hospitality, Management, Accounting, or Business.
Requirements:
EXPERIENCE:
Three years work experience in travel, logistics, administrative, clerical, or customer service with demonstrated substantial interaction with English-speakers is required.
JOB KNOWLEDGE:
Good working knowledge,of Chinese domestic and international air and rail, visas, and hotel reservation services is required. Knowledge of U.S. government travel regulations is also required.
Evaluations:
LANGUAGE:
Level 3 (Good Working Knowledge) Speaking/Reading/Writing English is required. (This will be tested.)
Level 4 (Fluent) Speaking/Reading/Writing in Mandarin Chinese is required.
SKILLS AND ABILITIES:
Ability to interface professionally with U.S. mission personnel and travel services representatives required. Basic computer skills and post-specific databases such as E2 travel manager are required. The incumbent must be willing to work a variable schedule as well as overtime, if needed. Must be resourceful to find creative solutions to problems. Must have excellent interpersonal skills to deal with people at all levels of organizations often under significant pressure. Must have a deep foundation in Microsoft Office Suite to include but not limited to the following: Microsoft Excel, Outlook, and Word. Furthermore, incumbent must be able to perform data entry into Microsoft Excel and manipulate large data sets and enter formulas as part of their routine workload. This should also include the ability to reconcile billing information against contractor invoices.
Qualifications: All applicants under consideration will be required to pass medical and security certifications.
