Essential Functions
Position Functions (Include no more than 10 functions) % of Position Manages the development and execution of strategic congresses that support business and franchise initiatives; recommends appropriate messages and tactics. Applies product and market knowledge throughout the process. Communicates proactively to all levels of management and stakeholders. Champions congress strategies throughout the organization. Produces congresses ensuring consistency and collaboration while following established guidelines, processes and tools. Educates cross-functional teams, provides direction and establishes solutions where appropriate. Manages sponsorships schedule including working with internal partners on upcoming sponsorship activity, fulfilling logistical requests and updating project plan with recent activity. Works with stakeholders to develop a strategic communications plan incorporating event messaging, PR, web, social media, keynote presentations, and other assets to support events. Assist in creation of communications aligned with the pre-show and post-show communications. Fosters strong relationships with key customers, both internal and external. Participates in and facilitates project teams cross-functionally. Serves as a liaison and event resource for initiatives. Partners with and manages vendors to ensure that initiatives meet objectives. Directs and initiates solutions in support of continuous improvement. Maintains and enhances knowledge of congress specific industry trends and best-in-class practices that can be utilized to increase performance at shows. Manages and ensures consistency of the Smith & Nephew brand. 40% Provides on-site execution for congress and events, manages on site logistics: Manages entire congress process, coordinates with event management company, submits congress applications, negotiates floor space and hotel accommodations, arranges hotel meeting rooms, AV requirements, room reservations, manages booth set up, manages exhibit vendor as required, ensures product and literature arrive on time, and negotiates drayage costs. Ensures congress property is set up on time and that the property reflects Smith & Nephew corporate Image. 25% Develops the communication tools for Smith & Nephew’s participation in Regional Congress. Duties include creating and updating congress and event calendars, event fact sheets, attendee apps, playbooks and pre-conference slide decks, and post show communications. Responsible for arranging pre con meetings and conference calls for participants. 10% Manages the lead generation program for shows with a focus of developing qualified leads and distributing the leads post congress internally to the Sales, Marketing, Medical Education, and Digital Communication teams. Develop communications for teams to gain awareness and a call-to-action for engagement with the lead. 5% Research congress, events and sponsorships for potential inclusion in demand generation programs. Obtain prospectus, report schedule, demographics, costs and opportunities to the stakeholders and Regional Congress Manager. 5% Analyzes program impact and ROI metrics for projects and/or launches and updates dashboards. Provides recommendations and creates plans for continuous improvement. 5% Defines, tracks, reports and maintains budgets. Ensures cost-saving measures and spending within allocated amount. Participates in the development of department and franchise budgets, adhering to corporate priorities. Reports budget trends against budget projections to Regional Congress Manager. 5% Handles special projects as directed by the Regional Congress Manager and the Director, Global Congress & Tradeshows. 5% Education Bachelors in business, marketing, hospitality or related field required. Licenses/Certifications Experience 2-5 years' experience in congress and meeting planning in a high-volume fast-paced environment. Advanced in Excel, PowerPoint, Publisher and Word required. Competencies Proven organizational skills, ability to handle multiple projects simultaneously. Requires continuous attention to detail for complex events, at times multiple events will happen at the same time. Ability to effectively produce concurrent deliverables and collaborate across business functions. Skilled at project management of multiple, concurrent activities to ensure completion within target dates, managing shifting priorities. Mental concentration required when analyzing or preparing specialized reports, and/or special projects. Requires considerable mental effort and verbal skills to effectively negotiate prices for required materials meeting stated standards with vendors. Supervision This position is responsible for managing outside vendors in set-up and arrangements. Manages appropriate number of temporary employees as needed on an ad hoc basis for specific projects, and acts as team leader for support staff at trade shows.
