Executive Assistant to senior leader


Job Purpose


The job holder provides executive, administrative, and development support to the GC IO Leader, as well as the local and global Leadership Team; serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the GC IO Leader; organizes and coordinates executive outreach.


Job Responsibilities

-Secretarial and business support: agenda management and schedule coordination, travel booking, team meetings organization, meeting documents & minutes compilation, action list follow up, internal email distribution list maintenance.

-Visit arrangement: assists in global leader's invitation letter, Visa application, accommodation and logistic arrangement; domestic travel booking for global leaders; secretarial preparation and organization; consolidate meeting materials; support on Town hall setups and preparations.

-Event organization and coordinate: provides team seat plan and organize team performance for the annual dinner; organize team events, coordinate with internal and external parties to arrange activities, logistics and catering.

-Financial support: linkage with external parties on monthly billings and invoices issue to ensure correct and timely process, support on the yearly OP process, helping to collect financial data from different leaders.


- Other Ad hoc assignments as requested.


Role Requirements


-Bachelor’s degree or equivalent experience

-Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

-Experience in providing support for upper-level management is preferred.

-Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior leadership and external partners.


-Proficiency in Windows, including MS Word, EXCEL and PowerPoint.

-Ability to conduct research and present data in a succinct and well-written manner.

-Ability to work independently and with professional discretion.

-Excellent writing, editing, grammatical, organizational, and research skills.

-Fluent in both written and oral English.

-Excellent management, time-management, and problem-solving skills.
