职位描述


  

Responsibilities:  

Manage the activities of the Shanghai Office, Warehouse and Sample Department in accordance with Woven Image Procedures and report to Senior Management.


Duties:

    

  • Oversee correct and proper use of internal operating system.

  • Delegate and brief personnel on their roles and responsibilities.

  • Check and approve all import/export paperwork is in accordance with local compliance.

  • Assist in communication with local customs clearance agent

  • Liaise with external WI Offices to ensure timely shipment communication.

  • Ensure stock flow is optimized between source and final customer.

  • Ensure the stock levels are accurately maintained.

  • Manage quarterly stock takes.

  • Oversee communication of payment and generation of official Fapiao receipts.

  • Liaise with the external accounting firm to ensure the timely production of our accounts

  • Liaise with external accounting firm to ensure accurate and timely lodgment of any/all compliance documentation for local and external tax assessment.

  • Provide excellent customer service via phone and emails.

  • Create Cash on Delivery (COD) accounts in the system.

  • Receive and enter purchase orders from customers and establish credit position.

  • Generate pro-forma invoices.

  • Create quotations based on detail written advice from the sales team.

  • Send order confirmations to customers with an estimate of ETA

                                    

  • Keep the sales force and customers informed of delivery dates of orders that fall outside standard times, and advise of any problems.

  • Liaise with the Credit Controller regarding payments received and credit position of customers.

  • Communicate product availability, pricing and technical information at call.

  • Create problem forms and follow up on resolution.

  • Participating in product training provided by the sales team.

  • Maintain quality control procedures and provide responses against analysis

  • Produce a positive and productive workplace that encourages maximum participation.

  • Identify opportunities for improved communication and processes.

  • Provide weekly report to Senior Management.

  • Use the computer system in accordance with policies & procedures.

     Without prejudice to the generalities of the duties listed above, you shall follow the directives of the Company's appointed Directors, or representatives, who are from time to time assigned.


Relevant knowledge, qualifications and experience

  •  Bilingual English - Mandarin
  • Tertiary Qualification.

  • Min. 5 years’ experience in Import/Export Team Leader / Operational Position.

  • Import/Export experience a must.

  • Invoicing/Accounts experience is desirable.

  • Demonstrate excellent project management skills.

  • Have a good attention to detail.

  • Knowledge of commercial textiles is beneficial

  • Proficiency in Microsoft Office.

  • Customer Service experience in consumer products such as retail, contact centre etc.

  • Computer literacy.
