About the role



This position is based in Arm China HQ Shenzhen office located in Nanshan district. She needs to be work close with team members from other location including Shanghai and Beijing. This role is very important and irreplaceable as one of two administrators in Shenzhen. Arm China operation team works as a family group and welcome your coming!


What will I be accountable for?

The Administrative Assistant is an integral part of the China Admin team, reporting to Shanghai Office.


The position provides facility support to Shenzhen office staff. Duties include general clerical, receptionist, facility maintenance, activity and project-based work. Present a professional company image through in-person and phone interaction.




1. Provide reception service at front desk by greeting visitors on arrival and directing visitors to their destination;

2. Making temperate pass for visitors in Door accessing system;

3. Booking taxi/private car for some visitors;

4. Provide overall administrative support such as supply of stationery and pantry, office facilities and equipment, filing documents, payment application, etc.

5. In/out fax and mail management: fax dispatching timely;

6. Service provider management including clean, planting and construction;

7. Daily facility maintenance including work environment, office equipment, security and any other logistic;

8. Meeting room facility management and environment maintenance;

9. Support visitors through awareness of wait times and other personal needs;

10. Procedure revising, checking and follow;

11. New employee coming service;

12. Support China internal event like offsite meeting, family day and annual dinner…

13. Support new office fitting out and relocation work;

14. Being a supervisor and working with property management office to provide professional service;

15. Other Admin work assigned by Manager and Shenzhen office head.


What skills, experience and qualifications do I need?

2. Skilled in Word, Excel, PowerPoint and Visio Plus.

3. Highly accurate, willing to work with details

4. Working experiences in MNC is a plus

5. Ethical, honest, and trustworthy

6. Positive, 'can do' attitude

7. Self-motivated and dependable

8. Flexible, willing to adapt to changing responsibilities and assignments

9. Excellent communication and interpersonal skills are a must

10. Excellent oral and written English skills

11. High sense of responsibility and able to work into details

15. Strong ability to work under pressure
