The Segment
The RE&WS Function is responsible for providing the environment, processes, equipment and resources that efficiently and effectively help our Willis Towers Watson colleagues meet client demands and the overall objectives of the organization.
The Role
Overview of the role: The Facilities Services Manager role is a multi-faceted, dynamic role, which is responsible for providing an integrated set of support programs and services to colleagues, with a focus on enabling productivity, managing costs, mitigating risk, promoting our values, and supporting our brand. Programs and services include but are not limited to work environment, maintenance, reception, on-site meeting support and food services, print, post, office equipment, safety, security, business continuity, and records management. The role will hold responsibility for one or more WTW sites.
Responsibilities:
Client/Stakeholder:
Proactively engage stakeholders to ensure that internal client’s expectations are met
Build and develop effective client / stakeholder relationship across multiple levels of the organization
Manage relationships with external partners, internal function department partners and stakeholders, as deemed appropriate by business and REWS leadership
Excellence:
Provide subject matter expertise in facilities management methodology and practices
Implement best practices and effectively utilize standard operating procedures and tools
Act as go-to person in relation to all facilities/project/crisis management activities
Review existing operations regularly to reduce costs and improve operational standards
Plan and manage all contracts to ensure that they are professionally delivered at the right costs
Ensure vendors are well-managed, delivering services on time and within budget
Ensure timely solutions and identification and removal of potential roadblocks
Active and collaborative support for the successful completion of real estate projects for the office(s)
Ensure a property risk management program including audits is implemented and maintained
Work with Environmental Health & Safety team to review and update all aspects of Health and Safety in the workplace to ensure the provision of a safe working environment
Promote Willis Towers Watson culture and values; manage and support change management activities effectively to reduce business disruption and meet intended
People:
Ensure local RE&WS team members are informed and capable of meeting their role/responsibilities
Manage and coach team, develop and sustain a high-quality well motivated team
Ensure high staff morale, trust and work ethics
Build and maintain an environment that supports teamwork, co-operation and performance excellence within team Financial:
Management of the annual budget through carefully controlled expenditure; monitor cost expenditure against budget and prepare forecast and variance reports
Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements Tangible contributions to local/segment OIP and integration targets resulting in financial and qualitative benefits · Understand the financial requirements in different entities and ensure financial processes are followed at all times
The Requirements
Experience in a client-facing role and a comprehensive understanding of customer service and integrate facilities services.
Subject matter expertise in facilities management and office support operations within a multi-faceted professional services environment
Highly skilled in managing interpersonal relationships with various constituents and a focus on business productivity Strong communicator – Good presentation skills and possesses strong verbal & written communication skills (English & local language), also an active listener
Demonstrated leadership skills with ability to coach, train and motivate colleagues at various levels
Recognized as a positive change agent in response to changing business dynamics and support requirements · Proven analytical, organizational, and project management skills
Success in the development and implementation of office support processes, procedures and guidelines that drive efficiency and service excellence
Effective influencing skills and ability to impact key stakeholders and satisfactory issue resolutions
Some travel may be required for meetings, team initiatives or other project-related activities
Minimum of five years’ experience in similar role and remit
Proficiency in the use of technology (e.g., MS Office)
College/University degree preferred

Regulatory Requirements
The role holder must maintain knowledge and awareness of regulatory issues and obligations related to facilities operations requirements for their geography
