职位描述

Duties and Responsibilities

§ Front Desk Management

- Including all general reception duties, visitor management, event and meeting room management, etc.

§ Security Management

- Handle and distribute of control access key cards

- Responsible for month of security system data exports

§ Mail Management

- Including mailroom coordinator, shipping supplies ordering, courier handling, etc.

§ Office Services Management

- Housekeeping services: Work closely with onsite cleaner to ensure general office cleaning and meeting room tidiness, as well as pest control management & internal comms reminder to users.

- Indoor plant services: Escort & register the plant watering guy if necessary

- Coordinate the process of general, confidential and recycling wastes as well as tracking records

- Stock Management: Order the stationery and pantry supplies on regular basis

- General help desk support: Act as the first point of contact for local users in case of any questions or emergency handling

- Liaison with Building Management

- M&E Services:

o Responsible the monthly inspection round and reporting

o Arrange handyman services if required

o Contact BMO for any power and air-con services

o Electrical Services

o Annual Maintenance Contracts

o Coordinate all 3rd party warranties, maintenance, inspection and repair works

- Other administrative works including data entry, monthly reports, office signage handling, etc.

§ Client/Stakeholder Management

- Proactively engage stakeholders to ensure that on site client’s expectations are met

- On-site key point of contact for Facilities in the client’s premises

§ Procurement & Vendor Management

- Ensure vendors are well-managed, delivering services on time

- Ensure that vendor procurement processes comply with agreed client procurement guidelines

§ Contracts Management

- Ensure expiry of contracts are well-monitored and re-procurement is initiated if needed

- Ensure contracts are continually assessed to deliver best value to the client

§ Finance Management

- Ensure financial processes are followed at all times

- Handling invoice reporting, validation and prepare payment request

§ Client/Stakeholder Management

- Proactively engage stakeholders to ensure that on site client’s expectations are met

- On-site key point of contact for Facilities in the client’s premises

§ Environmental Reporting

o Ensure location meets RELX’s corporate requirement of Environmental reporting including uploading and maintaining the data recording in Hara

§ Space management

o Ensure location meets RELX’s corporate requirement of space management reporting including maintaining the seat assignment in Archibus

§ Health & Safety Management

- Ensure the provision of a safe working environment

- Act as a main contract for EHS on emergency response, first aid, emergency prevention and evacuation

- Manage service outages, and coordinate remediation activities to restore service availability

- Prepare incident report if required


GENERAL REQUIREMENTS:

· Punctual.

· Can start ASAP

· Excellent verbal communication skills both English and Chinese.

· Well-developed interpersonal skills.

· Working proactively and flexibly, with a customer focused approach – both internal (i.e. staff) and external (i.e. visitors) customers

· Able to manage several tasks simultaneously.

· Good planning and organizational skills

· Able to work with initiative and minimum supervision.

· Professional appearance and manner. Cheerful, friendly and pleasant disposition

· University degree
