Title: Project Coordinator
Location: Shanghai
Reports to Vice President, Weber Shandwick
Position Profile
Weber Shandwick is looking for a highly talented project coordinator who's interested in kick-starting their PR career, to provide support on a very prestigious project. The successful incumbent will need to have excellent communication, time management and organizational skills, as well as the ability to adapt to multiple assignments and deadlines and environment changes.
Job Duties: 70% Project Coordinator / 30% Admin Support
(1) Project Management
1. Develops and maintains a detailed project plan to ensure that the project stays on schedule, and tracks activities according to plan.
2. Actively participates in all phases of the project.
3. Schedules and coordinates client and internal meetings, including travel arrangements and expense reports, as required.
4. Prepares and/or edits meeting minutes in English and Chinese and updates the Master File Copy (hard and soft copies).
5. Assists in developing status reports and presentations for senior management and client as required (English and Chinese versions required)
5. Ensures that project tasks are completed per the deadline and within budget and that all team members adhere to deadlines.
6. Monitors costs, timescales and resources used. Follows up with action owners to obtain status update on job tasks
7. Escalates to Vice President as required, any challenges and bottlenecks and provide recommendations on how to overcome them.
8. Prepares and tracks budgets and scheduling expenditures on a monthly basis. Works with Finance to analyze variance and alerts Vice President before project exceeds budgets.
9. Coordinates with Finance to ensure client invoices and IOAs are accurate, and sent out in a timely manner, and payment is made/received in a timely manner.
10. Liaises with the client and internal project stakeholders on behalf of the Vice President as necessary.
11. Communicates expectations and coordinate quality of work with suppliers and contractors as required.
(2) Public Relations
1. Assists in conducting research and drafting press material other related material in English and Chinese as assigned by the Vice President.
2. Supports local and internal PR campaigns and programs as required.
3. Scan daily, weekly, monthly and on-line publications to identify client-relevant media coverage, including competitive market and industry information
4. Prepare clipping reports and press kits as required
5. Demonstrates keen interest learning about how to utilize new media in the B2B space
6. Other duties as assigned by the Vice President.
(3) Client
1. Proactive in understanding the clients' business
2. Familiar with key client contacts and clear understanding of clients' organizational structure
3. Have a clear understanding of clients' organizational structure
4. Schedule and coordinate client meetings; keep participants advised of any changes
5. Maintain adequate supply of client-related materials and documents
6.Interact with client as deemed necessary by account team leader
7. Proof and edit internal and external documents
8.Prepare clip reports and summaries as needed by team and client
(4) Team Support
1. Actively participate in agency development by assisting with new business and volunteering to assist other staff with urgent client needs
2. Balance workload between accounts and account staff to ensure that all work is accurate and completed within established deadlines
Skills and Qualifications:
1. Able to communicate well in English and Chinese skills - written and oral
2. Mature and Presentable
3. Competent in handling international media inquiries
4. Experience in working with senior level executives
5. Great analytical skills and an inquisitive mind to write stories that project the clients' key messages.
6. Has a can-do attitude and willing to do what it takes to get the job done well.
