Summary: The U.S. Mission in Beijing is seeking an eligible and qualified applicant for the position of Administrative Assistant.



Work schedule: Full Time (40 hours per week)


Start date: Candidate must be able to begin working within a reasonable period of time after receipt of agency authorization and/or clearances/certifications or their candidacy may end.



Supervisory Position: No


Duties: The Administrative Assistant is the Consular Section’s receptionist, and responsible for maintaining and ordering the Consular Section’s expendable supplies. The Administrative Assistant is the first point of contact for customers seeking a wide range of Consular services. S/he creates and maintains schedules for the Consul General and official visitors. S/he drafts a wide range of internal USG correspondences and manages electronic-document files. Keep accurate time and attendance records for all Consular U.S. direct hires (USDHs), Eligible Family Members (EFMs), and Locally Engaged (LE) staff. Independently manages many types of special projects. Charged with managing a significant inventory of consular forms with minimal officer supervision. Provides general administrative support to all USDHs, EFMs and Locally Employed (LE) staff. The Consul General is the incumbent’s direct supervisor.



Qualifications and Evaluations


Education: Two years college studies is required.


Requirements:


EXPERIENCE: Three years’ experience in administrative work in an office environment is required.



JOB KNOWLEDGE: Considerable knowledge of internal operating procedures and basic requirements for all types of visas and relevant consular services information. Excellent communication, interpersonal, and organizational skills. Must have a good understanding of host government operations, protocols, and business practice.



Evaluations:


LANGUAGE: Level IV (Fluent) reading/writing/speaking in English is required. (This will be tested.)


Level IV (Fluent) reading/writing/speaking in Chinese is required.



SKILLS AND ABILITIES: Strong organizational skills, mature judgment, ability to interact with the public professionally and courteously, computer literacy including Microsoft suite of applications, including Word, Access, Excel, PowerPoint and Outlook. Typing skills in English and Chinese, and ability to work under constant pressure.



Qualifications: All applicants under consideration will be required to pass medical and security certifications.
