职位描述

Job responsibilities:

- HR:

- Manage ADMINISTRATION and OPERATIONS departments in Beijing, including temporary staff.

- Carry out annual reviews of all Admin and Operations staff in Beijing.

- Salary payments to all employees every month (calculate, get approved and pay);

- Assist in recruitment efforts (e.g. advert on 51job.com etc. for new staff);

- Manage interns;

- Maintain the holiday and sick days off of all staff in Beijing (on excel sheet); send to Party A's Manager, MD and Deputy Country Manager ('DCM') every quarter.


- Client Relationship: Service existing clients from Beijing office:

- Process client requests, e.g. Client Order Forms from clients and other client requirements;

- Use O'Neil document management software;

- Responsibility for invoicing clients: Calculate invoices (every month) for each client; send invoices to clients;

- Prepare client box inventory and other reports (to clients that require this).


- Administration:

- Government relations: make sure we are up to date with business licenses and other regulations;

- Keep chops and keys safe;

- Keep company files both on computer and in filing cabinets in order and safe (e.g. HR contracts, supplier contracts, electrical equipment guarantee documents, client contracts, client service forms, work orders etc).

- Back-up all company electronic files on Party B's computer on a weekly basis; store back-up hard-drive off-site.

- Maintain barcode inventory system (e.g. O'Neil) on server so that it is running smoothly; carry out weekly backups of its data;

- Make sure phone lines are 'covered' (i.e. someone to answer them professionally) between 9am and 6pm Mondays to Fridays- client service times;

- Make sure office is clean and operating well (repair broken equipment, maintain office supplies);

- Manage office cleaner.



- Operations:

- Manage driver schedule;

- Make sure operations staff keeps van clean (to be cleaned 3 or more times a week); oversee van repairs;

- Co-ordinate large client projects (e.g. when new client sends many boxes to Databox for the first time);

- Manage part-time staff who help to do cataloguing; train new driver/facility staff;

- Assist sales when we have visitors to facility (e.g. wear business dress, go to facility etc.);

- Purchase materials for servicing clients e.g. cartons.



- Purchasing officer:

- Deal with all Databox suppliers: stationery, marketing materials, boxes, warehouse suppliers, IT support, etc; Maintain good relationship with suppliers;

- Obtain 3 supplier quotations for all new supplies for costs over RMB 1,000. Then decide based on quality and price.

- Keep costs down (negotiate well with suppliers).



- Finances:

- Monthly accounting sheet on excel or other software;

- Liaise with accountant, auditors and tax bureau; make sure accounting is done correctly; pay tax to government;

- Co-ordinate annual company audit project for whole of China;

- Deal with corporate banking; maintain good relations with Party A's bank (Standard Chartered, China Merchants Bank).

- Scan the monthly banking statement and email to DCM and MD.

- Following company's payment processing policies.



- Marketing:

- Assist with marketing plans (e.g. organising corporate gifts, signage).

Requirements:
University degree;
Good command of English and Mandarin;
5 years' working experience (international company preferred);
Good at MS Office software, quick learner of other professional software;
familiar with accounting procedures preferred.
Honest, initiative, amicable, patient, diligent, detail-oriented, well-organized, and trustworthy.
