职位描述
The jobholder is responsible for providing secretarial and administrative support to the VP and some country management team members based in China. The jobholder will also coordinate all matters pertaining to the central management matters under VP’s supervision.
.
o Prime: work collaboratively across the entire organization, assist to manage the VP’s time in the most efficient and effective manner, work closely with management team members to achieve organisational goals and objectives
o Shared: recommend and implement service improvement processes; manage expenses; take responsibility for preparing information prior to VP’s meeting, provide necessary administrative support as and when required
o Contributory: take the lead to organise festive celebrations and functions for the organisation; coordinate and respond preliminarily to Public Relations and Government Relations related matters under VP’s supervision
Key Responsibilities & Accountabilities
1. Manage all meeting schedule for the VP
2. Prepare and submit expense claims for reimbursement
3. Coordinate logistics arrangements for business travel i.e. flight and hotel bookings, airport transfers, travel itineraries and visa applications
4. Set up and maintain a proper filing system
5. Organise and take notes for departmental meetings
6. Provide travel logistics to other local team members when needed
7. Organise company’s social events and activities
8. Prepare presentation materials and business data and preliminary analysis
9. Primary liaison of public affairs and basic contact on Government related affairs
10. Ability to multitask and accomplish objectives within the stipulated deadline
11. Ability to handle high level contacts and exposure to sensitive information with discretion, tact, diplomacy and judgment
12. Manage meeting schedule efficiently and effectively
13. Ability to analyze and organize data and information in logic ways and write with good literature
Skills, Experience & Qualifications
o Computer literate and well-versed in applications such as MS Office Suite, Excel and PowerPoint.
o Excellent interpersonal, verbal and written communication skills
o English proficiency and as well as Mandarin
o Excellent presentation skills
o Excellent analytical and problem-solving abilities
o Good planning and organizing skills
o Knowledges on Finance, Legal or Corporate Communications will be preferable
o 3 to 5 years’ relevant work experience in secretarial positions, supporting key management team members
o Resourceful and IT savvy
o Experience working in MNCs
o Experiences Finance or Public Relations/ Government Relations will be a plus
o Bachelor degree and above holder, MBA is preferable
