职位描述

This position reports to Head of Beijing directly and works closely with all the sales managers in Sarment Beijing office.

This position holder should have a strong team work spirit with very positive attitude and organized characteristics. You are very happy to be proactively in team work with all the Sarment teams. It would be your pleasure to share with the other sales admin on the sales orders management in the emergency period in the other cities. We provide you a cross regional cooperation opportunity to work with the other teams in Shanghai or other cities, including but not limited to finance, admin or logistics teams.

The position will entail the following responsibilities but not limited to:

Beijing sales team Support

  • Work closely with Beijing sales team to provide a high quality sales admin support;
  • Enter the sales order data (including customer information, product information, pricing amount, comments from customers or sales managers, etc.) to the company software system (currently SAP B1) and ensure the information 100% accurate;
  • Generate sales reports in line with various statistics purpose (e.g. back order report, payment report, new account report, sample cost report, daily report every 3 months, etc.);
  • Remind customers for the payment to the company once the sales managers have the request;
  • Input and maintain customer database and ensure all information is complete, updated and correct following sales managers;
  • Contract check and filing, and monitor expire date in order to keep all the contracts valid, deliver contract etc;

  • Prepare, print, check, copy, scan or email files to the sales managers as per their instruction punctually;
  • Sales department phone calls reception and pass the information to the relevant sales managers;
  • Continuously learning wines and fully understand sales managers job request so as to provide advanced internal service;

Logistics Support

  • Coordinate with the 3rd party of logistics on the order fulfilment for sales managers to arrange the orders delivery in punctuality;
  • Stock check with warehouse;
  • Beijing stock reorder with Head of Wine;
  • Office sample wines restock;
  • Inventory transfer in SAP;
  • Wines transfer support with the other cities;

Accounting Support

  • Account check with client;
  • Account check with financial team regarding the sales data or customers information;
  • Daily update the payment record (bank transfer & Alipay etc.);
  • Assist sales manager to apply for Invoice from Shanghai finance team, record the express details in SAP, then send to the customers;

BEIJING Office Admin Support

  • Office petty cash management;
  • Office courier management;
  • Office supplies purchase;
  • Office admin stuff payment application (e.g. telephone, courier in & out, car rental, office rental, etc.);
  • Office removal support if necessary;
  • Other office admin support as per Head of Beijing’s instruction.


Qualifications

  • Customer Service Focused
  • Can-do attitude, can cope with pressure, work independently & deliver within tight deadline
  • Also a team player to achieve company’s overall target
  • Proficient in MS Office applications, especially Excel
  • Proficient in ERP system with sales orders placing experience would be a must
  • Relevant working experience in wines industry would be a plus
  • Good command of spoken & written English & Chinese would be a plus
