Job Description / Responsibilities:
Administration
- Manages inventory of stationery supplies / ensures sufficient stock;
- Responsible for maintenance of Beijing office equipment, such as phone system, photocopier, fax, furniture, lights and bulbs, liaises with architects etc.
Organizes work station of new staff (computer, phone, business cards, supplies etc.) and IT orientation
- Manages the office Ayi to ensure total cleanliness and neatness of Beijing office;
- Manages Receptionist to deal issues such as business cards printing, courier sending, meeting room booking or office calendar updates
IT and Telephone Switchbox issues:
- Responsible for handling daily office IT problems (correct functioning and management)
- Liaise with IT supplier for office PCs trouble-shooting
- Monitor Beijing on-site engineer of weekly check of main servers
- Centrally manages all office email address
- Responsible for timely Mail and file server backup
- Maintain the functioning of Chamber website
- Assures the correct functioning and efficiency of the central telephone switchbox
Bachelor degree in Business Administration or related area;
2 to 3 years’ experience in office management role;
Excellent English, spoken and written;
Knowledge and experience in office IT system maintenance;
Excellent interpersonal skills, flexible and proactive attitude;
Computer literacy (Outlook, Word, Excel, Power Point, Internet Explorer).
Good organizational and management skills, results-oriented;
Attention to details;
A team player
