The NI Shanghai Services team has an immediate opening for a Project Specialist. Our goal, as a Project Support Team, is to deliver essential services including project infrastructure, resources, logistics, and security, so that our project teams can focus on meeting our customer demands and technical requirements to deliver quality solutions for our strategic customers.
 
Project Support Responsibilities:
1. Coordinating project activities, collaborating with project team members, developing measurable project goals and objectives, and monitoring progress toward achievement.
2.Set up project infrastructure including setting up SharePoint sites as well as providing access and basic training, resolving issues, and running compliance reports
3.Administer project security by process requests for access to restricted information, maintaining disclosed lists, updating chain of custody documents and assisting with periodic reviews and audits
4.Coordinate project resources activities including on-boarding running timecard compliance
5.Assisting with project logistics such as requesting transfer supplies from worldwide locations, obtain quotes, place orders, and expedite shipments for standard items with established providers
 
Project Logistics Responsibilities:
1.Requisitioning and transferring of internal goods from worldwide locations
2.Working with Direct Spend and NI Procurement for external goods
3.Managing goods by receiving, inventorying, and storage of received materials
4.Working with shipping and Trade Compliance for delivery of finished systems
 
Project Infrastructure Responsibilities:
1.Setting up for new Microsoft Projects, Sharepoint sites and Oracle codes
2.Generating compliance reports from MPO or PowerBI
3.Delivering training and assistance for use of project tools
 
Office Administration Responsibilities:
1.Hosting VIP visitors/clients
2.Ordering and organizing office supplies and equipment
Position Requirements:
1.4 years Bachelor’s degree
2.3-5 years advancing work experience supporting groups in corporate environment
3.Skilled in Microsoft Office365, especially Excel, OneDrive and SharePoint
4.Microsoft Project/Project Online experience preferred
5.Excellent verbal and written communication skills (Chinese and English)
6.Team-oriented service skills: positive, friendly, poise, diplomacy, trust-worthy
7.Execution in highly interrupt-driven environment handling multiple projects/assignments
8.Strong organizational, planning, priority setting, and time management skills
9.Self-starter work independently to prioritize resolve issues
