General Administration
? Assist GC VPs and lead team to meet business objectives through effective, consistent and efficient administrative support, organisation, project assistance and management of day to day workflow.
? Organize manager’s time effectively by assisting with scheduling of diaries and co-ordination of meetings. Take meeting minutes where required and follow up on agreed actions.
? Understand the priorities and assist in execution and delivery where appropriate.
? Establish and maintain high professional standards, recognizing the importance of first impressions for the Fonterra corporate identity/image.
? Ensure professional and timely turnaround of correspondence, papers, reports and presentations.
? Manage document preparation and presentation; delivering to a professional standard that adheres to Fonterra templates.
? Be prepared to be flexible around office hours occasionally.
? Develop and maintain relationships with key stakeholders to enable delivery to the business.
? Assist with completion of SAP updates and Fraedom expenses claims as manager’s delegate.
? Adhere to confidentiality requirements.
Travel arrangement
? Schedule national and international travel arrangements for in the scope general staff in conjunction with Travel Management Company.
? Responsible for Fonterra visitor arrangement booking, including flights, accommodation and so on.
? Be a contributing and supportive member of the team, taking responsibility for own actions and providing support to others when required.
IA arrangement
? Car release arrangement and relevant coordination for Fonterra GC IA and senior managers.
? Coordination of driver selection, interview and daily management of drivers.
? Management of house rent & deposit payment.
? Support Fonterra GC IA for house facility maintenance and management.
? Assist IA with arrangement of child education, language learning and related other support.
? Visa/work permit coordination/follow up with agency.
? All related vendor’s setup and maintenance.
Event support
? To organise and support staff activities (e.g. kickoff, annual party) to enhance employee engagement by aligning with head office standard and to ensure it is executed on a high standard.
? Ensure events are organized efficiently, with right people attending, rooms booked, resources organised and meeting Fonterra's professional standards
Other administration support
? Backup PA for the related stuff when they are on leave, including VP calendar management, travel management and payment and other day to day workflow.

Exposure to working with ambiguity or limited information
Working to tight deadlines with ability to remain calm and collected under pressure
Ability to question and clarify own understanding
Superior organisational skills including good time management and an ability to set commercial priorities.
Able to self manage and make decisions based on sound judgements or escalate as appropriate.
PA or admin experience experience working in large MNCs or leading international professional service firms
Native Mandarin speaker, fluent in oral and written English
