Job Purpose
There are 4 offices in RICS China: Beijing, Shanghai, Guangzhou, and Chongqing with headquarter in Shanghai. RICS China would like to provide a systematic office administrative support to all staff in different locations to ensure the offices are run smoothly in accordance with RICS standard.
The purpose of this role is set standard of office administration and execute the standard to all offices in 4 locations with guidance of line manager and support of related local staff.

Key Tasks & Responsibilities
1. Be responsible for the office administration of 4 offices in China.
2. Be in charge of office supply related purchase & payment including setting up purchase schedule and following up with Finance for all payment related issue.
3. Arrange office courier service, following up with way bill and courier bag refill.
4. Set standard of office tidiness in line of RICS way including pantry area maintenance, Follow up with cleaning company and plant suppliers for service provision.
5. Arrange staff travel including air/train tickets, hotel accommodations, and manage related travel vendors.
6. Liaise with all office suppliers to observe all contract terms and engage suppliers to provide high standard of service, alert issues to vendor/supplier and contact related internal department when necessary.
7. Set up office supplies budget and monitor the expenditure and drive for the cost effective whenever necessary.
8. Contact UK for coordination with office related issues.
9. Liaise with the RICS APAC I.T person on a need to basis.
10. Liaise with IT related service providers and suppliers with regards to office equipment.
11. Answer office main switch.

Qualifications and Experience Required
1.Experience in office administration and operations preferred.
2.Bachelor degree holder.
3.Minimum 5 years of related working experience.
4.Service oriented, focus on details.
5.Proficient in Microsoft Office; I.T savvy.
6.Fluent in English.
7.Open-minded and a team player.
