Document Control 文档管理
Summary of Position:
We are looking for a bi-lingual (English/Mandarin) person with a high standard of organizational skills, has the ability to prioritize workload, has previous document management or information architecture experience. Must be able to work under pressure, be a team player and be self motivated. This position is responsible for all Document Control activities between our Beijing team, our LA team and third parties required for the development of our projects.
Primary Functions and Responsibilities:
1. Create and maintain written procedures for all documentation responsibilities.
2. Manage all Document Control activities: Retain and be able to retrieve all correspondence, reports, drawings, sketches, instructions, and minutes of meetings, submittals, requests-for-information, variations and all other project documents.
3. Generation, issue and control of documents to all other departments.
4. Manage all drawing updates.
5. Maintain and update all in house file drawings, CAD, illustrations, scripts, technical specifications, research, narrative treatments and meeting minutes.
6. Manage IP approvals process with our IP Clients via their web based system.
7. Index all in-house documents.
8. Maintain document reference library.
9. Ensure proper file codes are indicated on each document and that proper redundant or subject files are maintained.
10. Ensure all files are correctly and completely accountable.
11. Periodically audit all files for inclusions and missing documents.
12. Facilitate timely provision of requested documentation.
13. Translation is required between BJ design studio and LA design team.
14. Other tasks assigned by supervisor.
Skills/Knowledge:
1. Know how to use AutoCAD (preferred), MS Excel, MS Word and Acrobat.
2. Background in an architectural environment and work-flow is helpful.
3. Knowledge of shop drawings helpful.
4. Knowledge of Photoshop and Illustrator helpful.
5. Highly organized with attention to detail.
6. Experience wth document control software: Procore (must), Aconex and other document control softwares.
Minimum Job Requirements:
1. Fluency in both spoken and written English.
2. At least 5 years' relevant working experience.
