Job summary
In this role, you will be the face of the SWIFT Beijing office. Your prime focus will be to handle Office and Commercial administration activities for the local team. This includes: management of visitors, suppliers, telephone routing, sales & administrative support to the extended local team.
Your Office administration responsibilities will be to
? Undertake switchboard management activities including: call routing, voice user support services consisting of first level support, voice mail, and organisation of PBX and voice mail backup.
? Perform external and internal visitor services reception duties (such as issuing access badges, organising and planning transport services, providing support during visit such as catering)
? Arrange conference room bookings & maintenance of the electronic telephone directory. Provide video user support and administer the conference system.
? Provide administrative support for mobiles and calling cards & report problems/issues to the Site Manager.
? Liaise with Building Management & local vendors to ensure office facilities are well maintained, bills are settled within due date and liaise with Finance & Administration team as required.
? Coordinate office move activities & provide assistance to Premises department
? Assist & support local events as required.
Your Commercial Administration activities will include:
? Provide highest quality customer service and sales support, and provide customer on-boarding assistance in compliance with all internal and external procedures.
? Resolve customer inquiries on requests for products and services in a timely, efficient and professional manner using the appropriate applications & SLAs. You may be required to liaise with other team members or departments in order to resolve most of the customers' problems /queries.
? Provide first-line support to customers on technical problems and relay cases to Customer Support Centre as appropriate
? Participation in sales campaigns including training promotion
? May assist in commercial projects by preparing reports/statistics, presentations, schedules/planning.
? Organise & Coordinate customer meetings involving senior customer representatives
? Identify opportunities for improvement to processes and procedures
? Acquire operational, process and product knowledge to resolve customer inquiries and problem
Qualifications:
? 5-10 years plus experience in an Office administration role and at least 3 years of relevant experience in a sales support function or a customer relationship environment
? English/Mandarin speaking
? Proven experience with international environment/companies and experience of Financial services industry is a plus
? A collaborative team player with good discipline, communication skills and organized way of work & ability to manage and prioritise tasks;
? Ability to thrive under pressure and handle multiple tasks at one time
? Strong self-initiative and eagerness to learn
? Knowledge of CRM systems (preferably Salesforce.com) & SAP
? Customer-oriented; self-motivated, Proactive
? This role would suit a career minded person who is interested in growing and developing their sales support skills and being part of a fast paced team
? Tertiary qualification an advantage
