What we expect from an Office Manager

An office manager is responsible for the day-to-day management of our office and liaison with our parent company (The Interpublic Group of Companies). His / her primary job is to keep the office in good working order along with helping to manage our operating budget and overall calendar. Thus the office manager must be very discrete and maintain a high level of confidentiality. She or he is also expected to take the lead on key projects (such as helping to develop our annual corporate outing or determining client relationship programs) while supporting the staff in their endeavors to develop the best marketing programs for our clients.

Responsibility and Duties

Managing our 15-person office including:
- Managing the office budget
- Supervising office support, including Ayi
- Answering any phone calls to main line (very few, as most phone calls go to individual's mobiles or landlines)
- Liaising with IPG team members to ensure
o Support of human resource (health insurance, visas, etc.) needs
o Coordination IT and equipment needs
o Coordination of conference room use
o Payment and tracking of office invoices
o Maintaining interns' timesheets and salary calculation monthly
- Ordering supplies
- Monitoring of staff annual leave
- Maintaining contract files
- Managing annual events (Christmas, Chinese New Year celebrations as well as corporate outings)
- Maintaining client database
- Managing our client relationship efforts (for the mid-Autumn Festival and Chinese New Year)
- Coordinating travel and developing itineraries for senior management
- Maintaining MD's timesheets and expense claims
- Running weekly errands for senior management (1x per wk)
- Supporting recruitment efforts
o Managing database
o Contributing to screening processes
o Scheduling interviews
o "On-boarding" of new staff by reviewing staff handbook, office processes and procedures
- Assisting with the formatting and researching related to presentations
- Others as being assigned reasonably by senior management

Skills/Experience

? At least 5-7 years working in a professional environment
? Ability to multi-task
? Strong project management skills
? Solid English and Chinese communication skills - both written and verbal
? Budget structuring and control capabilities
? Interest and/or knowledge of sports and entertainment marketing is a plus
? Prior experience managing an office preferred
