Title: Executive Assistant

Location: Beijing

Reporting to: Executive Vice President, CMG China


What we expect from an Executive Assistant

An Executive Assistant is responsible for the day-to-day support of the Executive Vice President, for the smooth running of the office, and liaison with our parent company (The Interpublic Group of Companies). His / her primary job is to manage the administration and co-ordination of projects, under the direction of the Executive Vice President, proactively maintaining an efficient and effective working environment, and positive working relationships with senior management and team members in the CMG agencies.
Thus the Executive Assistant must be very discrete and maintain a high level of confidentiality. She or he is also expected to take the lead on key projects - such as helping co-ordinate workshops and project team meetings, undertake desk research and establish information management and filing systems for major projects.

Responsibility and Duties

- Managing work-flow and providing administrative support on major projects
- Assisting in content development for marketing proposals, including desk top research and face-to-face work with team members from IPG/CMG agencies
- Formatting presentations and managing content
- Supporting in the management and maintenance of the CMG Collaboration toolkit Helping develop content for the CMG Monthly brief to senior management
- Attending key project meetings, taking and distributing meeting notes
- Liaising with IPG team members to ensure
o Support of human resource (health insurance, visas, etc.) needs
o Coordination IT and equipment needs
o Coordination of conference room use
o Payment and tracking of office invoices
- Ordering supplies
- Maintaining contract files
- Maintaining client database
- Coordinating travel and developing itineraries for senior management
- Maintaining EVP's Expat Tax and expense claims
- Running weekly errands for senior management (1x per wk)
- Others as being assigned reasonably by senior management

Skills/Experience

? At least 5-7 years working in a professional environment
? Ability to multi-task
? Strong project management skills
? Solid English and Chinese communication skills - both written and verbal
? Financially literate with ability to develop simple budgets
? Interest and/or knowledge of marketing, creative professions is a plus
? Prior experience working for a senior executive in MNC is preferred
