Position: Customer Service Process – Cloud Project & Contract Management

Division/Department: ITP Region China

Location: Beijing

Main goals and objectives:

? Responsibility for the management of the Customer Service Process (CSP) projects/programs for the purpose of achieving department goals based on local and group defined action items.

? Planning, Design, Implementation, Rollout and Continuous Improvement of IT projects based on company needs, in line with group and international standards (PMP) in the area of the Customer Service Process of Joint Ventures and Importers NSC (VGIC, VGHK).

? Rollout and implementation of regional application strategy for sales incl. remarketing and fleet, after sales and marketing systems to support customer service processes in Region China.

? Establishment of processes and corresponding documentation (process and knowledge management) and reporting.

? Manage and coordinate external service providers in the CSP - Cloud including:

o Technical and functional supervision of contracted parties

o Contract management

o Monitoring and reporting

? Project planning and execution ensuring cost- /schedule and scope adherence.

? Support budget planning processes, control the execution of projects and services within the planned budget in the CSP area.

? Responsible for assuring high-quality IT project delivery and customer satisfaction in accordance with the defined KPIs and the MbO.

Your Responsibilities:

? Regular interact with local stakeholders/business and be responsible for the IT/system related product management Program and project.

? Harmonize IT projects, processes and systems in their specific area.

? Control CSP IT System landscape to adopted local requirements from Chinese JV, importers and sales companies.

? Determine CSP Cloud ITP requirements by analysing needs of users/departments; prioritizing modifications to related systems; developing and implementing documentation requirements related to the project area

? Build up stable and regular communication to identify and realize synergy in EAM for CSP Cloud with all involved stakeholders

? Manage applications life cycle and deployment of new releases in coordination with the project teams & suppliers

? Coordinate, validate and implement change requests and release updates in cooperation with the project teams and the suppliers

? Drive request for proposal (RFP) process and manage partners/vendors to deliver the requested projects, solutions or services

? Develop, monitor and review annual IT budgets of the CSP Cloud to ensure they comply with the group’s corporate goals, guidelines and objectives

? Cooperate within the process of new releases and deployments implementation

? Implement and optimize processes and policies (strategy, IT-PEP) in the CSP area

? Provide monthly Project status reports to the leader

? Support Cloud IT Roadmap Planning for upcoming 3 years in cooperation with all ITP entities incl. JVs of Region China

? Interact with business team to understand project/service agreements and communicate the same to team members

? Conduct risk assessment and coordinate mitigation plans

? Effectively communicate scope and manage expectations among all parties involved in a timely manner; and maintain business relationship professionally

? Provide technological recommendation in the development and implementation regarding to system architecture, data architecture, business processes, security, scalability and performance

? Manage, update and release documentation related to CSP Cloud projects

? Monitor contracts for sales, service and support of all Cloud Services and related information and technology systems

? Monitor the approved annual operating and capital budgets for information and technology systems, with specific focus on Cloud Services

? Review all related hardware and software acquisition and maintenance contracts

? Plan, control and report project specific budget spending, support planning rounds with controlling / purchase department

? Overall coordination and administration for purchase requests (PR), purchase orders (PO), good received (GR), invoice and payment management, verification, tracking and reporting.

? Monitor overall project agreements and contracts (run time and budget) to ensure continuous service level agreement (SLA)

? Evaluate business cases (ROI/TCO) to ensure cost efficiency of projects and operations

? Drive request for information (RFI) and request for proposal (RFP) process and evaluate the technical proposals

? Setup and manage projects by international industry project management standard (PMP) especially focused on scope, budget, quality, time and resources

? Manage partners/vendors to deliver the requested products, solutions and services

? Finalize the project delivery with completed documentation

? Assure transition of projects to operation

? Identify and create potential synergy with VWAG IT project teams in CSP

? Ensure IT compliance regarding legal requirements, intellectual property protection, access and data security protection (ITSP)

? Oversee infrastructure upgrades, modifications and deployments and align appropriate project activities & business communication

Our Requirements:

Education:

? Bachelor or Master in computer science or equivalent

? Additional master in business administration or business science would be an advantage

Technical skills:

Expert knowledge in IT Process & Project Management Standards (PMI or equivalent) and deep experience in project/program management according to VW Group Standards. Solid knowledge about the VW Group Master Construction Plan (MCP) and ability to identify the business requirements, analyse group and state-of-the-art solutions and define concepts to set up and maintain sustainable IT projects/programs.

? Understanding of key performance indicators, critical success factors and vital business functions

? Understanding of needs of business users, including achieving user satisfaction by serving CSP process consultancy and project delivery with high quality

? Understanding of optimization of IT Project-related planning, operative processes and tasks

? Understanding of monitoring and reporting tools to ensure project delivery within agreed time, budget and quality

? Understanding of purchasing, controlling and finance processes

? Familiar with the usage of standard project management tools (MS Project, MS Visio, Ticketing Systems, knowledge management, reporting and monitoring tools)

? Understanding of the IT Security concepts and methodologies

? Understanding of industry-standard IT Service Management (ITIL)

? Ability to understand, use and enforce VW Group IT standards within projects

? Good understanding of software design and development methodology

? Good knowledge of WebService APIs for integration purposes

? Good understanding of various infrastructure technologies and concepts (physical and virtual Servers, Storage, Network, Databases, Middleware)

? Strong knowledge of Cloud-based architectures and web-based systems architecture

? Implementation experience in the migration of systems between hosting platforms would be highly advantageous

? Ability to effectively adapt to rapidly changing technology and apply it to business needs

? Good technical documentation skills

? Ability to understand, adapt and create technical architecture documents

Working experience (in years):

? At least 5 years’ experience in software development and/or service management in the automotive and/or production industry

? At least 3 years knowledge in IT project management (PMP or equivalent) or service management (ITIL)

? Minimum of 2 years with international projects

? Familiar with IT Security Concepts in the CSP area

? Familiar with IT Architecture Management concepts

? Experience driving request for information (RFI) and request for proposal (RFP) processes and evaluate the technical proposals

? Experience in IT Project Planning, Delivery and Optimization (incl. Budgeting)

? Experience in managing partners/vendors to deliver the requested projects, solutions and services

? Experience in Documentation and Reporting

Remarks (Language, IT-Knowledge, Certificates etc.):

? English fluent (spoken and written)

? German or/and Chinese would be an advantage

? Intercultural competence

? PMP or equivalent certification

? ITIL certification preferable
